## About the Role
We're a custom home builder looking for an Office Manager who owns the money side of the business. This is not a receptionist role. You'll be the person who knows, every single day, what cash we have, what's coming in, what's going out, and whether every job is where it should be financially. You will work directly with the CEO and will administer all tasks for the company regarding the office work and scheduling.
You'll work directly with the CEO and COO. **To be clear about how we operate: business decisions are made by the CEO, and this role executes them.** We're looking for someone who is honest, integrous, loves the Lord and is excellent at carrying out a plan precisely and completely — not someone looking for authority over budgets, pricing, hiring, or company direction. If you take pride in flawless execution and being the person everyone trusts with the numbers, you'll do well here.
## What You'll Do
**Cash & Financial Tracking (the priority)**
- Track daily bank balances and cash reserves by job phase
- Own accounts receivable and accounts payable start to finish
- Invoice clients accurately and on time — collections are a top priority
- Collect receipts from field crews and attach them to the correct job invoices
- Release approved vendor and subcontractor payments
- Partner with our bookkeeper to keep GE tax filings accurate and avoid overpayment

- Manage the budget for each job by accurately using cost codes

- Provide Weekly Cash-flow reports and monthly PnL reports to the CEO
**Insurance & Compliance**
- Maintain current Certificates of Insurance for every subcontractor — no expired COIs on our jobs
- Manage annual insurance audits (general liability, workers' comp) end to end: gather payroll and subcontractor records, respond to auditor requests, and see the audit through to close
- Keep vendor and subcontractor records organized and audit-ready year-round
**Payroll & Systems**
- Run payroll in QuickBooks
- Administer the employee time clock and resolve discrepancies
- Manage day-to-day operations in Buildertrend
**Field & Project Support**
- Assist with scheduling trades and keeping jobs moving
- Handle requests from the field quickly — orders, paperwork, vendor calls, whatever the crews need to keep working
- Communicate daily with the CEO and COO on priorities and open items, and execute their direction
## What We're Looking For
- 5+ years in construction office administration, bookkeeping, or a similar role
- Working knowledge of QuickBooks, including payroll
- Buildertrend experience strongly preferred (or comparable construction management software)
- Solid grasp of AR/AP and job cost tracking
- Familiarity with GE tax and construction compliance a big plus
- Genuinely organized — you follow up before anyone has to ask
- Comfortable talking to subs, vendors, and clients about money
- Discreet with sensitive financial and payroll information
- Responsive to the field — when a crew needs something, you handle it
- Comfortable working inside a clear chain of command: the CEO decides, you execute
