Position Summary
The HVAC Controller is responsible for overseeing the financial operations of the company, including accounting processes, financial reporting, budgeting, forecasting, job costing, WIP schedules, and compliance. This role is integral in supporting operational leaders with timely and accurate financial insights for decision-making.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
1. Financial Oversight
• Manage all day-to-day accounting operations including AP, AR, payroll journal entries, GL, bank reconciliations.
• Assist with month-end and year-end close processes.
• Ensure accurate accruals and cutoff procedures across multiple departments and entities.
2. Work-in-Progress (WIP) Reporting
• Prepare WIP reports monthly, ensuring revenue recognition is GAAP-compliant.
• Reconcile WIP to general ledger and explain variances.
• Support field leaders in interpreting backlog, under/over billings, and percent completion.
3. Billing & Revenue Management
• Oversee billing cycles: progress billing, milestone billing, service invoicing, and retention tracking.
• Ensure timely and accurate customer invoicing and A/R follow-up.
• Monitor revenue recognition based on completed work and contracts.
4. Budgeting & Forecasting
• Lead the annual budgeting process, including labor burden estimates and materials projections.
• Prepare rolling forecasts and cash flow projections.
• Analyze actuals vs. budget and report on variances to leadership.
5. Audit & Compliance
• Coordinate with Corporate Controller for year-end reviews or audits.
• Assist with tax filings (sales tax, property tax, use tax) ensuring they are completed accurately and timely.
• Maintain internal controls and safeguard assets.
6. 3. Supervisory Responsibilities
• Collaborate with field operations and project managers on financial processes.
• Partner with HR/payroll for labor tracking, benefits costs, and reconciliations.
7. 4. Tools & Systems
• ERP/Accounting Software (e.g., QuickBooks)
• Job Costing & Dispatch Software (e.g., ServiceTitan)
• Excel (advanced), Google Sheets, Power BI (optional but preferred)
• Payroll systems (e.g., Paylocity)
Requirements
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Bachelor's degree in accounting, Finance, or related field (required); CPA preferred.
  • 8+ years of progressive accounting experience with at least 3 years in a controller or senior accounting leadership role.
  • Prior experience in the construction, mechanical contracting, HVAC, plumbing, or other skilled trades industry is required.
  • Strong understanding of WIP accounting, job costing, and contract billing practices.
  • Proficiency in construction-related accounting software (e.g., Foundation, Viewpoint, Sage 300 CRE, QuickBooks Contractor Edition, or similar ERP systems).
  • Deep knowledge of GAAP, internal controls, and financial statement preparation.
  • Strong leadership, communication, and analytical skills with the ability to collaborate across departments.
