OSI Optoelectronics is seeking a Document Control Clerk. This individual will participate in the execution of the defined strategic quality plan in conjunction with Quality functional leadership and provides quality assurance and document control support to engineering, customers, suppliers, partners and internal functional departments and participates in continuous improvement activities in targeted areas. They will also participate in the quality assurance strategy to ensure product flow consistent with established industry standards, government regulations and customer requirements. They will coordinate the receipt, processing and transmission of information to ensure the control and protection of quality and engineering-related documents using a variety of information systems.
Responsibilities
  • Preserve various files and folder structures in the electronic/hardcopy project folders, quality management systems, database, and manufacturing software. Maintain databases such as ERP, MES, FTP, and DMS for supporting documentation and data for ensuring fast and accurate retrieval.
  • Complete and incorporate documentation request utilizing various software applications to aid with document control process requests.
  • Perform data entry accurately in multiple systems (part numbers, document metadata, revision levels, effective dates, routing steps, and attachments) and verify data integrity across connected systems.
  • Process, scan, index, distribute, file (hard and soft copies), retrieve and archive project related documentation received and maintain engineering documentation files in a timely manner.
  • Coordinate and obtain document approvals and ensure only approved/current revisions are released for use on the manufacturing floor. Interface with various department groups to aid with releasing and distribution of engineering and quality documentation.
  • Review documents for accuracy and completeness prior to filing or release (e.g., correct template, required approvals, revision history, formatting, legibility, and alignment to drawing/spec requirements).
  • Uphold the company's core values of Integrity, Innovation, Accountability, and Teamwork.
  • Demonstrate behavior consistent with the company's Code of Ethics and Conduct.
  • It is the responsibility of every employee to report to their manager or a member of senior management any quality problems or defects in order for corrective action to be implemented and to avoid recurrence of the problem.

Qualifications
  • High School degree or equivalent required.
  • Experience in document control desired; experience within a manufacturing environment a plus.
  • Must be meticulous and accurate with strong attention to detail when entering and verifying data.
  • Familiarity with controlled document practices (e.g. revision control, effective dates, change orders, record retention) desired.
  • Familiarity with systems such as ERP, MES, and DMS/QMS tools desired.
  • Experience using Microsoft Suite, including Word, Excel, Visio, as well as Adobe and WinZip required.
  • Familiarity with electronic computer drawing software desired.
  • Excellent time management skills and ability to multi-task and prioritize work required.
  • Ability to handle sensitive/confidential information and maintain controlled access required.
  • Must be comfortable working with both electronic records and physical files in a clean manufacturing environment.
  • Must be a team player.
  • Excellent communication and interpersonal skills are essential, including the ability to speak with all levels of employees, guests, vendors, and team members.

Pay may range from $20.00 to $22.00 hourly
The pay range above represents annual base salary only. Final compensation will be determined based on factors such as your job level, geographic location, date of hire, experience, job-related knowledge and skills, and education in conjunction with market and business considerations.
Base salary is one component of your total rewards package. You may be eligible for long-term incentives, potential discretionary bonuses, and the ability to purchase company stock at a discounted rate through the Employee Stock Purchase Program (ESPP). OSI also offers comprehensive benefits including various options for health plans, access to 401(k) retirement plan, health savings account, disability insurance, life insurance, AD&D insurance, leave of absence programs and an array of voluntary benefits. In addition, paid time off is offered to be used for vacation, holidays, bereavement, and jury duty. Full-Time salaried employees are entitled to flexible time-off.
