Oasis Event & Retreat CenterEvents & Marketing Coordinator (Full-Time)

Location: Oasis Event & Retreat Center – Southaven, Mississippi
Position Type: Full-Time (40 Hours Per Week)

Position Summary

Oasis Event & Retreat Center is seeking an energetic, organized, and creative Events & Marketing Coordinator to join our growing team. This individual will play a key role in planning and executing exceptional events while promoting the Oasis brand through strategic marketing and community engagement.

The ideal candidate is a self-starter who thrives in a fast-paced environment, enjoys working with people, and has a passion for creating memorable guest experiences. This position requires a flexible schedule, including weekends and occasional evenings, as many of our events occur outside of traditional business hours.

Experience in the hotel, hospitality, or event venue industry is highly encouraged but not required.


Essential ResponsibilitiesEvent Coordination
  • Plan, coordinate, and execute weddings, corporate meetings, social gatherings, retreats, conferences, and community events.
  • Coordinate event logistics, including venue setup, timelines, vendor communication, décor coordination, and guest experience.
  • Serve as the primary on-site contact during events, ensuring smooth operations and excellent customer service.
  • Conduct venue walkthroughs and assist prospective clients with event inquiries.
  • Coordinate with vendors, caterers, decorators, entertainers, and internal staff.
  • Monitor event execution and resolve issues promptly and professionally.
  • Track attendance, collect client feedback, and prepare post-event reports.
  • Ensure event spaces are presentation-ready and uphold Oasis quality standards.

Marketing & Communications
  • Develop, create, and schedule engaging social media content across multiple platforms.
  • Assist with photography, video content, and promotional campaigns showcasing events and venue offerings.
  • Design flyers, promotional materials, newsletters, brochures, and digital advertisements using Canva or similar software.
  • Update website content, event calendars, and promotional listings.
  • Support email marketing campaigns and client communications.
  • Help develop marketing initiatives that increase venue bookings, community awareness, and brand recognition.
  • Monitor social media engagement and respond to inquiries in a timely manner.

Administrative Responsibilities
  • Manage event registrations and client communications.
  • Maintain event calendars, marketing databases, and customer records.
  • Assist with contracts, invoices, deposits, and event-related financial tracking.
  • Support budgeting and expense reconciliation for events and marketing initiatives.
  • Prepare reports, maintain organized files, and assist with general office operations.
  • Provide exceptional customer service from initial inquiry through event completion.

QualificationsRequired
  • Experience in event coordination, hospitality, marketing, communications, customer service, or a related field.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent verbal and written communication skills.
  • Professional appearance and customer-focused attitude.
  • Ability to work independently while collaborating effectively with a team.

  • Reliable transportation.
  • Ability to lift up to 25 pounds and assist with light event setup as needed.
  • Availability to work weekends, evenings, and flexible hours based on the event schedule.

Preferred Qualifications
  • Hotel, hospitality, conference center, wedding venue, or event venue experience.
  • Experience with event planning software. 
  • Familiarity with Mailchimp or similar email marketing platforms.
  • Experience updating social media platforms. 
  • Bachelor's degree in Marketing, Communications, Hospitality Management, Event Management, Business, or a related field (preferred but not required).
