Job Summary
The City of Rockville, Maryland (City) is seeking friendly, dependable individuals to work part-time, non-benefited as an Event Supervisor. This position provides on-site supervision of small to large-scale indoor and outdoor events taking place at various venues and properties throughout the City. This position ensures rental registrations are met, supervises permitted park pavilion rentals at various locations, supervises the venue, vendors, and guests at a variety of events and venue locations, and provides exceptional customer service. Applicants must be comfortable working different types of events including wedding ceremonies and receptions, anniversaries, birthdays, bar/bat mitzvahs, sweet 16s, fundraisers, corporate/non-profit events, holiday parties, award ceremonies, memorial services, celebration of life events, City and local municipal meetings and social events, etc. The work is year-round with the majority of work shifts taking place April through December and on weekends, annually. Work shifts can occur (7) days a week, including weekday day shifts. Civic Center Complex-managed venues that require event supervision include:
  • Glenview Mansion
  • Civic Center Cottage
  • F. Scott Fitzgerald Theatre
  • Social Hall
  • Elwood Smith Community Center
  • Pump House Community Center
  • Park pavilion rentals at various locations

Essential Job Functions
  • Excellent customer service and going the extra mile is vital in this client and vendor-facing position.
  • Open and secure facility before and after events.
  • Work closely with vendors to ensure all event logistics are addressed successfully on-site and within contracted terms.
  • Ability to follow directions well and maintain policies and procedures.
  • Interpret set-up/floor plan diagrams for events.
  • Set-up and breakdown of chairs, tables, audio/visual, and other equipment in accordance with a rental contract.
  • General cleaning to help support an event, and trash and recycling removal from venue.
  • Explain policies and procedures for use of the facility to diverse individuals and groups.
  • Respond to emergency situations by determining and implementing appropriate procedures.
  • Inspect facility before, during, and after functions for cleanliness and safety.
  • Restocking various venue areas, including restrooms and kitchens.
  • Produce event reports and incident reports noting any significant problems or important information about an event.
  • Exceptional problem solving, decision making, and judgement required in a variety of standard and unusual situations.

Qualifications
  • Must work a minimum of two (2) shifts per month when asked.
  • Must work mandatory events and meetings when asked. Mandatory meetings are subject to change and currently include but are not limited to:
    1. All-Hands Staff Meeting & Training Session (1-4 times per year)
    2. Annual Wedding & Events Expo (1 time per year)
    3. Murder Mystery at the Mansion (2 times per year)
    4. The Winter Jubilee (1 time per year)
    5. The Children's Puppet Show (1 time per year)
  • Work independently and without direct supervision.
  • Ability to work well and collaborate as a part of a team.
  • Ability and willingness to be staffed at any location managed by the Civic Center Complex.
  • Must be willing to work flexible work hours, including evenings, weekends, some holidays, and sometimes on short notice.
  • Knowledge of event operations.
  • Ability to set-up and troubleshoot general issues with audio/visual equipment.
  • Punctual, reliable, dependable, and consistent in work output.
  • Excellent customer service and communication skills (written and verbal).
  • Take a proactive approach to risk management and facility and guest safety.
  • Ability to deal patiently and politely with facility and client problems and complaints.
  • Ability to resolve conflicts in a professional manner.
  • Ability to work beyond scheduled work shift end time if an event runs past contracted time.
  • Have personal e-mail address and cell phone.
  • Own or have consistent access to a vehicle to get to multiple work locations.
  • Knowledge of Google Suite (Gmail, Drive, Calendar, Docs, Survey Tools, etc.).
  • Organized and attention to detail skills.
  • Dress code can vary between casual to business to formal depending on the event.

EXPERIENCE:
  • Experience working with large groups and independently.
  • At least one year of experience managing venues for large-scale events.

EDUCATION:
  • High school diploma or above.
  • At least 21 years of age.

REQUIREMENTS:
  • Recreation and Parks requires all facility staff to get and maintain a valid CPR, AED, and first aid certification (certification is provided through the City).
  • Possess a valid driver's license.
  • All employees and volunteers who drive a City owned/leased vehicle or private vehicle on official City business must complete the Maryland Vehicle Administration MVA flagging form and be cleared. Employees and volunteers who possess a driver's license that is not issued by the State of Maryland must submit with the form with an original printout of their driving record. The information on the form will be used by the Department of Human Resources in accordance with the City's Driver's License Check and Flagging Program.
