Job description

Job Summary
Provides administrative support to projects, project team, and key stakeholders to ensure efficient project operations and support. Ensures policies and procedures are followed in alignment with company standards. Coordinates the flow of communications, business, tracking and status of project processes.
Essential Duties
  • Proactively supports work processes and office functions, collaborating with team members to address issues and ensure smooth project implementation. Provides administrative project support, identifying and resolving issues in coordination with key stakeholders.
  • Coordinates the project pipeline and assignments. Handles project information and/or potential changes in a confidential and professional manner. Responsible for a high level of customer service. Utilizes feedback to make continuous improvements.
  • Delivers timely and precise project status and performance reports, ensuring accuracy in plan revisions, change notices, and other project-related reports. Maintains effective communication channels for routine and ad hoc reporting requirements.
  • Serves as liason between contractor, sub-contractor, and Field Partners (e.g. Superintendent and Foreman) regarding approved or updated submittals, drawings and other contract documents. Manages various aspects of document control to include document archiving and imaging.
  • Prepares Operations, Maintenance, and Warranty manuals and other required closeout documentation. Submits manuals and documentation to the General Contractor for approval.
  • May assist with managing and creating change order logs, equipment logs, submittal logs, RFI logs, and other project-related logs.
  • Other duties as required.

Minimum Requirements
A High School diploma or GED is required. Bachelor's degree in Business Administration or related field is preferred.

5+ years of experience in project coordination or related field.
Must have demonstrated proficiency in Microsoft Suite, including Outlook, Word, PowerPoint, OneNote, and Excel, showcasing strong technological skills essential for effective project coordination.
