Job Summary

The Project Coordinator provides administrative and project support to the Commercial Electric Project Management team. This position helps keep projects organized by setting up project files, maintaining documentation, tracking key items, scheduling meetings, assisting with permits and closeouts, and supporting Project Managers with day-to-day project coordination needs. This role is intended for someone highly organized who may grow into deeper construction project coordination responsibilities over time.

Essential Duties and Responsibilities

• Provide administrative and project support to multiple Project Managers.

• Assist with new project setup, including project folders, checklists, customer information, and internal documentation.

• Set up new customers and project information in company software systems.

• Track contracts, COIs, permits, and other required project documents and follow up as needed.

• Assist with downloading, saving, printing, and organizing plans, specifications, drawings, and project information.

• Maintain electronic project files and ensure documents are organized and consistently stored.

• Assist with bid and estimating support by gathering documents, saving plans, and organizing project information.

• Schedule meetings, assist with meeting preparation, and help track follow-up items.

• Maintain and update basic project logs, including change logs, permit tracking, and closeout checklists.

• Prepare permit applications and help track permit status.

• Assist with project closeout documentation.

• Communicate with internal employees, vendors, customers, and project team members as needed.

• Learn construction project coordination processes and gradually assist with RFIs, submittals, change orders, and other project documentation as experience develops.

• Support Project Managers with general administrative needs and other job-related duties as assigned.

Required Skills and Qualifications

• Organized, detail-oriented, and able to maintain accurate project records.

• Ability to follow up consistently and manage multiple tasks at once.

• Strong written and verbal communication skills.

• Ability to meet deadlines in a fast-paced office environment.

• High school diploma or equivalent.

• 1-2 years of administrative, office support, project assistant, or coordinator experience.

• Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

Preferred Qualifications

• Prior construction office, project assistant, or project coordinator experience.

• Interest in commercial electrical construction.

• Familiarity with construction drawings, permits, contracts, COIs, change logs, or closeout documents.

• Experience with Spectrum/Viewpoint, Procore, Bluebeam, Bidtracer, or similar construction systems.

Physical Demands and Work Environment

• Ability to operate standard office equipment, computers, and keyboards.

• Ability to sit, stand, and move within an office environment as needed.

• Office environment with occasional visits to project sites.
