Weekend Project Coordinator information

What is a weekend project coordinator?

Weekend Project Coordinators are professionals responsible for overseeing and managing projects that occur during weekends. They ensure that all aspects of a project, such as scheduling, resource allocation, and communication, run smoothly outside of regular weekday hours. Their duties often include coordinating with team members, monitoring progress, addressing any issues that arise, and ensuring project milestones are met on time. This role is critical in industries where operations or events take place over the weekend, such as construction, events, or facility maintenance.

How does a weekend project coordinator typically manage communication and collaboration with teams that may have limited availability during weekends?

As a Weekend Project Coordinator, you'll often encounter the challenge of collaborating with team members who may not be working standard hours. Effective communication is key—this usually involves setting clear expectations ahead of the weekend, leveraging project management tools to track progress, and scheduling brief check-ins or status updates at mutually convenient times. Coordinators often rely on asynchronous communication methods, such as emails or shared dashboards, to ensure everyone stays informed. Building strong relationships during the week can also help secure support and prompt responses when needed over the weekend.

What are the key skills and qualifications needed to thrive as a weekend project coordinator, and why are they important?

To thrive as a Weekend Project Coordinator, you need strong organizational skills, project management knowledge, and often a relevant degree or equivalent experience. Familiarity with project management software like Trello, Microsoft Project, or Asana, as well as basic office tools, is typically required. Excellent communication, time management, and problem-solving abilities help you coordinate teams and deliver results under tight deadlines. These skills ensure projects stay on track and stakeholders remain informed, even during non-standard work hours.

Are weekend project coordinators in high demand?

Weekend project coordinators are in moderate demand, especially in industries like construction, event planning, and facilities management that require weekend scheduling. Employment opportunities depend on regional needs and industry growth, with skills in organization and communication being highly valued. Overall, demand is steady but varies by location and sector.

Is a weekend project coordinator a high paying job?

Weekend project coordinators typically earn wages similar to other entry-level or part-time roles, with pay depending on industry, location, and experience. They often require strong organizational skills and may involve flexible scheduling, but generally do not offer high salaries compared to full-time or specialized positions.

  • Coordinate permit tracking, preconstruction submittals, and project mobilization requirements.
  • Create and maintain project-specific organizational systems and documentation templates.

Submittals, RFIs, and Change Orders:

  • Receive, review, log, and track all submittals and Requests for Information (RFIs).
  • Coordinate timely review and approval workflows between subcontractors, design professionals, and the project team.
  • Ensure accurate and complete documentation is filed and distributed appropriately.
  • Process and track change order requests (CORs).
  • Process Approved Owner Change Orders, ensuring they are accurately documented and aligned with the contract.

Closeout & Warranty Management:

  • Assist with project closeout by collecting and organizing required documentation such as as-built drawings, O&M manuals, warranties, and training materials.
  • Coordinate punch list documentation and closeout schedules with subcontractors.

Preferred Qualifications:

  • 2+ years of experience in construction project coordination or a similar administrative role in the construction industry.
  • Strong understanding of construction documentation, project processes, and terminology.
  • Proficient with Microsoft Office and PDF markup software.
  • Excellent organizational and time management skills with the ability to handle multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills and attention to detail.
  • Ability to work collaboratively with internal teams, subcontractors, and clients.
  • Familiarity with project management software (Timberline and/or Procore) is a plus.

What We Offer:

  • A family-oriented company culture that values integrity, teamwork, and respect
  • Competitive compensation and benefits
  • 401K Match
  • Health, Dental, Vision, and Life Insurance
  • 7 Paid Holidays plus Paid Time Off
