Job description

Position Summary:
Analytic Services, Inc. (ANSER) is seeking an Operations Coordinator to support the Office of the Department of Defense (DoD) Chief Information Officer. In this key role, you will work directly alongside the Chief of Staff to drive daily execution, manage operational tempos, and ensure leadership is constantly prepared in a fast-paced environment.
This position does not permit remote or hybrid work with all job duties performed full-time onsite at the Pentagon in Arlington, VA.
Day to Day Responsibilities:

  • Rigorously track and update the Chief of Staff's master task list, ensuring all items are thoroughly documented, and proactively follow up with staff on outstanding deliverables to ensure timely and accurate completion.
  • Oversee the organization's weekly and monthly battle rhythm, ensuring the Chief of Staff has full situational awareness of upcoming engagements and can execute meetings seamlessly.
  • Prepare the Chief of Staff for meetings, including gathering agendas, compiling background materials, drafting talking points, and assembling briefing binders.
  • Attend key meetings with the Chief of Staff to capture accurate and actionable minutes, including decisions, clearly defined action items with assigned owners and suspenses, and required follow-ups.
  • Serve as a professional intermediary between the Chief of Staff and internal/external stakeholders by triaging incoming inquiries, identifying urgent priorities, and directing communications appropriately.
  • Maintain awareness of organizational priorities, deadlines, and strategic initiatives to proactively support the Chief of Staff with timely insights that support planning and strategic decisionmaking.
  • Support process improvement by identifying operational inefficiencies, gathering stakeholder input, and recommending practical and feasible solutions.
  • Other duties as assigned.

Required Qualifications:

  • Possess an active TS/SCI security clearance.
  • Bachelor's degree in business administration, project management, public administration, organizational leadership, marketing, communications or a related field; or a high school diploma and four years of related experience.
  • 10+ years of administrative support experience, including at least two years of experience with the DoD. 14+ years of experience in lieu of a Bachelor's degree.
  • Experience anticipating hurdles and upcoming requirements, preparing relevant materials proactively, and solving administrative or logistical bottlenecks independently.
  • Experience synthesizing discussions and complex information into clear, concise summaries that highlight essential decisions, insights, and next steps.
  • Exceptional interpersonal skills with experience serving as a liaison between leadership and internal/external stakeholders in a professional environment.
  • Exceptional organizational and time management skills with a proven ability to manage multiple competing priorities.
  • Excellent executive-level written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, shared document workspaces, and scheduling software to keep tasks transparent and organized.

Preferred Qualifications:

  • Experience supporting an organization in the Office of the Secretary of Defense.
