Office Services Assistant

Job Description:

The Office Services Assistant performs a wide variety of clerical and office administrative duties, which includes providing a high level of customer service and support. This position will be responsible for handling mail, answering phones, filing, word processing and operating office equipment. The Office Services Assistant will perform other duties, including ordering supplies and backing up the receptionist.

Summary of Duties and Responsibilities

  • Sort and distribute incoming and interoffice mail
  • Assist in processing express and overnight courier packs
  • Inventory, order, organize and distribute office supplies
  • Operate and maintain office equipment as needed
  • Provide and track facility work order request
  • Create, maintain, and enter information into databases
  • Support conference room setup and clean up
  • Oversee and assure that pantries are supplied and stay organized
  • Prepare offices and workstations for new hires
  • Backup the Receptionist, greet visitors, handle incoming calls and other communications
  • Organize travel by booking accommodations and reservation needs as required
  • Assist with good housekeeping initiatives for general office areas
  • Other administrative responsibilities as requested
