Job description

Position Summary

The Receptionist serves as the first point of contact for visitors, residents, families, vendors, and staff. This position is responsible for providing exceptional customer service, managing incoming calls, greeting guests, maintaining the reception area, and supporting administrative functions to ensure smooth daily operations.

Essential Duties and Responsibilities
  • Greet and assist visitors, residents, family members, and vendors in a professional and courteous manner.
  • Answer, screen, and direct incoming telephone calls promptly and accurately.
  • Receive, sort, and distribute incoming mail and packages.
  • Maintain visitor logs and ensure compliance with facility sign-in procedures.
  • Provide general information regarding facility services and direct inquiries to appropriate staff.
  • Assist with clerical duties including filing, copying, scanning, faxing, and data entry.
  • Maintain office supplies and notify management when replenishment is needed.
  • Schedule appointments, meetings, and conference rooms as requested.
  • Support department managers with administrative tasks as assigned.
  • Monitor the reception area to ensure a clean, organized, and welcoming environment.
  • Assist with resident and family concerns by directing issues to the appropriate department.
  • Maintain confidentiality of resident, employee, and company information in accordance with HIPAA and facility policies.
  • Participate in facility meetings, trainings, and in-services as required.
  • Perform other duties as assigned by management.
QualificationsEducation
  • High school diploma or GED required.
  • Additional administrative or office training preferred.
Experience
  • Previous receptionist, customer service, or administrative experience preferred.
  • Experience in healthcare, long-term care, or senior living environments preferred.
Knowledge, Skills, and Abilities
  • Excellent verbal and written communication skills.
