Job Summary:
The Administrative Assistant provides administrative, clerical, and Human Resource support for daily operations within the region. This role serves as the main receptionist for the facility, assists leadership with operational tasks, supports payroll and HR processes, maintains records, and manages resident financial accounts. The Administrative Assistant serves as a key liaison between the region and the Corporate Office while helping ensure compliance with organizational and regulatory requirements.

Responsibilities:

  • Provide administrative and clerical support to the Regional Director and leadership team, including preparing correspondence, maintaining records, and coordinating reports.
  • Serve as the main receptionist by answering phones, greeting visitors, and assisting volunteers.
  • Assist with Human Resource functions such as recruiting support, onboarding paperwork, benefits enrollment, and maintaining employee personnel files.
  • Maintain resident financial records, including individual ledgers, bank transactions, petty cash, and outing funds.
  • Serve as a liaison between the facility and Corporate Office departments, including Fiscal, HR, and Development.
  • Assist with compliance activities, regulatory audits, safety procedures, and documentation as needed.
  • Support fundraising initiatives, newsletters, and community relations activities.
  • Participate in committees, special projects, and other operational needs as assigned.

Qualifications:

  • High School Diploma or GED required; additional education preferred.
  • Minimum of three (3) years of administrative or office experience.
  • Knowledge of HR processes, payroll, and recordkeeping preferred.
  • Strong computer, organizational, and communication skills required.
  • CPR, First Aid, and Medication Administration certifications required within three months of hire.
  • Valid driver’s license with insurable driving record and reliable transportation.
  • Demonstrated Christian background and commitment to the Ministry’s mission and values.

Work Conditions:

  • Primarily office-based work in an administrative setting.
  • Schedule is typically Monday through Friday during standard office hours, with occasional evenings, weekends, or holidays as needed.
  • Occasional travel to group homes or other locations for meetings, recruitment, or events may be required.
