What You'll Do
  • Plan and manage events end-to-end - partner with the Events Lead to manage timelines, budgets, vendors, venues, catering, AV, shipping, travel, onsite staffing, and production details across Samba-hosted events, industry events, and sponsorship activations.
  • Scale webinar programming - collaborate with Events Lead, marketing insights, demand gen, and partners to grow the number of webinars produced. Manage planning and promotion to flawless production to expand our audience and generate new leads.
  • Coordinate sponsorships and partnerships - manage contract execution, deliverables, and ensure brand visibility and fulfillment of benefits.
  • Drive cross-functional alignment - collaborate with Marketing, Sales, Product, and Creative teams to align event and sponsorship goals with business objectives, branding, collateral, and executive participation.
  • Execute seamless experiences - oversee onsite and online delivery, manage guest lists, RSVPs, registration, customer/partner communications, and act as point-of-contact for vendors, speakers, sponsors, and attendees.
  • Manage audience engagement - build and maintain invitee lists, ensure accurate outreach and follow-up, and support executive participation in panels, speaking slots, and networking opportunities.
  • Event Communication and Promotion Strategy - support the creation of event communications and collaborate on promotional strategy for events (in partnership with demand generation and sales teams) to meet registration and attendance goals, and follow ups, leveraging tactics such as email marketing, social media, and paid advertising
  • Measure and optimize performance - track KPIs including attendance, engagement, meetings, MQLs, influenced and attributed revenue, budget spend, and ROI. Provide post-event reporting, insights, and lead capture to improve future investments.

Who You Are
  • 2-4 years of experience in event coordination, preferably in technology, advertising, or media.
  • Demonstrated success in supporting all aspects of event marketing across webinars, in-person events, and virtual events.
  • High energy with an eye for details and a passion for organizing world-class experiences
  • Strong project management and organizational skills, with the ability to juggle multiple deadlines.
  • Excellent written communication and collaboration skills - able to work effectively across teams and with senior stakeholders.
  • Experience with social media platforms (Facebook, Instagram, LinkedIn, X) for content creation and event promotion
  • Familiarity with webinar production platforms (e.g., Zoom) for scheduling, producing, and recording webinars
  • Basic understanding of email marketing and CRM tools (familiarity with HubSpot and Salesforce is a plus)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Experience with AI tools for developing content, ideas, and research (e.g., ChatGPT, Perplexity, Gemini)
  • Experience working in Canva is a plus
  • Willingness to travel for major events.
  • Creative problem-solver with a proactive, hands-on approach.
