What You'll Do

As a Warranty Administrator / Warranty Clerk, you'll help ensure warranty claims, repair documentation, and manufacturer submissions are completed accurately, efficiently, and in compliance with dealership and OEM standards.

Warranty Processing Responsibilities
  • Book warranty repair orders and submit manufacturer warranty claims
  • Review repair orders for accuracy, completeness, and proper documentation
  • Verify labor operation codes, failure codes, and administrative claim information
  • Process warranty paperwork according to manufacturer policies and procedures
  • Review rejected claims and prepare them for immediate resubmission
  • Maintain records of submitted, rejected, pending, and paid warranty claims
  • Reconcile warranty receivables and work with accounting to obtain payments
Communication & Coordination Responsibilities
  • Work closely with technicians, service advisors, managers, and accounting teams
  • Communicate with Service Advisors to clarify repair and warranty claim details
  • Coordinate with manufacturers and vendors regarding parts replacements and warranty processing
  • Build and maintain positive relationships with manufacturer warranty representatives and aftermarket warranty providers
  • Provide weekly reports to management regarding claim status and outstanding receivables
Administrative & Compliance Responsibilities
  • Stay current on factory recalls, warranty updates, announcements, and procedures
  • Arrange for parts returns and maintain records of returned, inspected, or scrapped parts
  • Ensure deductibles and customer responsibilities are properly documented and collected
  • Maintain organized customer and warranty records
  • Support dealership compliance and ensure all warranty activity follows manufacturer guidelines
  • Report any concerns that may impact dealership integrity, safety, or compliance
