Job description

We are seeking an experienced Virtual Administrative Assistant residing in the Houston area to support our small fitness and wellness company! This role involves 90% remote administrative support and 10% in-person assistance for special events. You will contribute to the efficient operation of our business and ensure exceptional service to our clients. The ideal candidate is organized, pays attention to detail, and brings an innovative eye to the team. Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimal supervision. A good Internet connection is required, and experience using Microsoft Teams and Zoom is required. Daytime hours are between 20 and 30 hours per week.


Responsibilities:

  • Manage administrative tasks such as scheduling appointments, organizing meetings, and handling correspondence.
  • Establish a rapport and support team of trainers with scheduling and payroll.
  • Assist with hiring and onboarding new team members
  • Maintain confidentiality and handle sensitive information with discretion.
  • Manage and maintain team calendars
  • Assist with document preparation, data entry, and maintaining records accurately.
  • Provide virtual support during events, including webinars, workshops, and client meetings.
  • Provide information about the products and services
  • Troubleshoot and resolve service issues and concerns
  • Develop and maintain social media posts.
  • Manage Zoom/Teams Webinars/Meetings, reports, and edit recordings.
  • Perform market research.
  • Create presentations as assigned.
  • Handle customer inquiries and complaints
  • Provide customer service as the first point of contact.
  • Assist with the planning and coordination of special events, both virtually and in person.
  • Attend special events in the Houston area to provide on-site support.

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and virtual communication tools.
  • Proficient in Microsoft Teams
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in completing tasks.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively in a virtual environment.
  • Must reside in the Houston area and be available to provide in-person support for special events as needed.
  • Proven experience as an assistant working remotely or in a relevant role
  • Familiarity with current technologies, like desktop sharing, cloud services, and VoIP
  • Experience with word-processing software and spreadsheets (e.g., MS Office)
  • Knowledge of online calendars and scheduling (e.g., Google Calendar)
