Join Our Team as a Guest Care Specialist!

Position Overview:

The Guest Care Specialist is the primary point of contact for our guests. The GCS coordinates treatment services and nurtures relationships with each guest. The GCS must be a strong communicator with a passion for providing excellent customer service and a strong aptitude for sales. The GCS's objective is to make patients feel welcome and comfortable as well as provide the best experience to every guest that calls our office.

Key Responsibilities:

  • Patient Communication: Answer inbound calls, emails, and online inquiries with a warm professional, and helpful attitude.
  • Appointment Scheduling: Manage scheduling, rescheduling, and appointment confirmations while ensuring accuracy and efficiency
  • Insurance & Payment Assistance: Provide basic information on insurance verification, co-pays, and billing inquiries
  • Patient Support & Coordination: Assist patients with general dental office questions, treatment follow ups, and referral coordination
  • Call documentation & Teamwork: Work closely with dental offices and internal teams to ensure seamless patient experience
  • Compliance & Documentation: Maintain HIPAA compliance and keep detailed records of patient interaction and documents in patients' charts.
  • Other duties as assigned

Qualifications:

  • 1+ years of experience in Dental or Orthodontics office.
  • Knowledge of Ortho/ dental procedures, insurance, and Ortho/ dental/medical terminology
  • Knowledge of Denticon, Cloud 9, Zoom Phone and ZCC, LMS, Microsoft Outlook- our practice management software
  • Effective time management and ability to work in a fast-paced environment
  • Ability to adapt to changes and work well under pressure
  • Strong problem solving and multitasking skills to assist multiple patients efficiently
  • Clear verbal and written communication skills
