INTRODUCTION

This position is based on our Corporate Offices in La Mirada, CA, with the ability to work remotely. The Procurement Administrator provides administrative and operational support to the Procurement Manager and procurement team by coordinating purchase orders, vendor communications, documentation, and tracking procurement activities for capital projects. The role is responsible for ensuring accurate procurement records, timely order processing, and effective communication between vendors, suppliers, engineering teams, and internal stakeholders.


RESPONSIBILITIES

  • Create, process, and maintain purchase orders and procurement documentation.
  • Assist with vendor onboarding, pre-qualification, and supplier database management.
  • Track purchase orders, deliveries, invoices, and order status updates.
  • Coordinate with vendors and suppliers to obtain quotes, lead times, and product information.
  • Maintain accurate procurement records, contracts, and supplier documentation.
  • Support the Procurement Manager with contract administration and vendor communications.
  • Monitor order progress and communicate any delays, backorders, shortages, or discrepancies to project teams.
  • Work closely with engineering and project teams to ensure procurement requirements are accurately documented and fulfilled.
  • Assist with budget tracking and spend reporting for assigned projects.
  • Prepare procurement reports, spreadsheets, and status updates for management review.
  • Ensure procurement activities comply with company policies and procedures.
  • Support inventory and material tracking activities as needed.
  • Assist in identifying process improvements to increase procurement efficiency.
  • Maintain organized electronic and physical filing systems for procurement records.


REQUIREMENTS

  • Bachelor’s Degree in a business-related field like Business Management, Contract Management or Procurement.
  • 5+ years of experience working as a Procurement Clerk, Junior Buyer, or any other related position.
  • Negotiation experience of any kind.
  • Industry and market experience.
  • Certification preferred but not required, such as the Chartered Institute of Procurement & Supply (CIP) certification, NVQ certifications in Supply Chain Management and Higher National Diploma/Certificate in Procurement).
