Job description

Description:

Arrowfly, LLC seeks an experienced candidate for the position of Coordinator, Sponsor Relations to join our Live Events team. This role will be responsible for end-to-end execution and project management of sponsorship deliverables across the live events business. This is a highly visible role that requires strong project management skills, and the ability to support multiple priorities in a fast-paced, deadline-driven environment. The ideal candidate is proactive, resourceful, and comfortable operating with evolving processes. This role regularly interfaces with internal stakeholders and external sponsors.


This Sponsor Relations Coordinator will travel onsite to events 10-15 times per year.


KEY RESPONSIBILITIES

  • Coordinate and execute sponsor onboarding process using timeline and actions lists.
  • Sponsor Lead and key point of contact for sponsor-related needs both pre-event and on-site at events
  • Internal POC between sales, marketing, content, and event operations teams
  • Track sponsorship contracts and execution of deliverables through internal tracking process using cvent, salesforce and other internal systems. , 
  • Coordinate floor plan assignments and manage booth/ table inventory availability
  • In partnership with event operations lead, support fulfilment of sponsor deliverables both pre-event and onsite.
  • In partnership with marketing specialists, support sponsor marketing deliverables pre-event to include sponsor logo management and signage.
Requirements:
  • Degree in hospitality, communications, or related field
  • 2 + years of relevant event, sponsorship, or client-facing experience within the events industry.
  • Ability to travel 10–15 times per year
  • Experience with Salesforce or other CRM systems
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word) and Google Suite
  • Strong written and verbal communication skills
  • Proven ability to manage multiple projects simultaneously and meet deadlines
  • Ability to adapt quickly, think critically, and operate effectively in a fast-paced, dynamic environment

Preferred Qualifications

  • Prior experience in a support or coordination role within events 
  • Experience coordinating and supporting conferences and tradeshows
  • Experience with event tech suites , floor plan and registration tools
