Job description

About Legion Health
  • Legion Health is building fast, affordable, high-quality mental health care at scale.

  • We are an AI-native psychiatry network where clinicians provide care directly to patients.

  • Our operations and technology systems help remove administrative friction so providers can focus on patient care.

Role Logistics
  • Job Type: Full-time contract

  • Location: Fully remote

  • Work Hours: 1:00 PM to 9:30 PM Central Time

  • Compensation: $5-$15 per hour, based on experience

  • Ideal Experience: 2+ years in operations, recruiting coordination, healthcare administration, payroll support, or virtual assistant work

The Opportunity
  • This is not a generic assistant role.

  • You will help keep Legion’s provider operations engine running smoothly.

  • You will support provider recruiting, onboarding, provider management, and payroll preparation.

  • The right person is organized, proactive, comfortable with spreadsheets, and excellent at follow-through.

  • This is a strong fit for someone who enjoys checklists, healthcare operations, provider communication, and detail-heavy workflows.

Responsibilities
  • Manage provider recruiting coordination, including:

    • Candidate tracking

    • Interview scheduling

    • Application follow-ups

    • Hiring record updates

  • Support provider onboarding, including:

    • Collecting required documents

    • Tracking onboarding checklist completion

    • Following up on missing items

    • Coordinating internal handoffs

    • Making sure providers are ready to start

  • Maintain provider operations trackers, including:

    • Provider rosters

    • Onboarding status

    • Active and offboarding providers

    • State coverage

    • Collaborating physician relationships

    • Credentialing or payer status

  • Communicate with providers through Slack, email, and internal systems.

  • Support weekly payroll preparation, including:

    • Gathering provider pay inputs

    • Reviewing visit counts

    • Checking no-shows and late cancellations

    • Updating pay sheets

    • Validating payroll trackers

    • Escalating discrepancies before payroll is finalized

  • Coordinate across recruiting, credentialing, clinical operations, billing, and payroll.

  • Document processes and improve SOPs so workflows become cleaner and easier to repeat.

  • Handle sensitive healthcare and payroll information with confidentiality and care.

You’ll Be Successful If You Are
  • Extremely organized and reliable

  • Strong with spreadsheets, trackers, and checklists

  • Detail-oriented with names, dates, pay periods, counts, and status fields

  • Clear and professional in written English

  • Comfortable following up with clinicians and internal teammates

  • Able to move quickly without sacrificing accuracy

  • Proactive about spotting missing information or unclear ownership

  • Calm under pressure in a fast-moving startup environment

  • Careful with sensitive information and HIPAA-aware

Ideal Background
  • 2+ years in one or more of the following:

    • Healthcare operations

    • Recruiting coordination

    • Provider onboarding

    • Payroll support

    • HR administration

    • Executive assistant or virtual operations support

  • Strong preference for experience supporting:

    • Clinicians

    • Healthcare providers

    • Contractors

    • Remote teams

  • Bonus points for experience with:

    • Google Sheets

    • Slack

    • Ashby or another ATS

    • Healthie or another EHR

    • Looker Studio

    • Stripe

    • Payroll or invoice workflows

    • Telehealth, behavioral health, credentialing, billing, or provider operations

This Role Is Not a Fit If You
  • Prefer only patient-facing support

  • Dislike spreadsheets, trackers, or reconciliation work

  • Need the same exact workflow every day

  • Wait for instructions instead of proactively following up

  • Are casual with deadlines, documentation, or payroll accuracy

Compensation & Benefits
  • Hourly Compensation: $5-$15 per hour, based on experience

  • Work Setup: Fully remote

  • Schedule: 8:00am - 5:00pm US Central Time

  • Impact: Help build the provider operations foundation that lets clinicians focus on patient care

  • Growth: Opportunity to grow into broader ownership across provider operations, onboarding, recruiting coordination, or payroll operations

Hiring Process
  • Resume and application review

  • Initial interview

  • Practical operations exercise using a sample tracker or onboarding/payroll scenario

  • Final interview

  • Reference check
