Veterinary Referral Coordinator Job Summary
The Veterinary Referral Coordinator serves as the primary liaison between referring veterinarians, pet owners, and our emergency and specialty teams. This role is essential in ensuring a seamless referral experience for patients requiring advanced veterinary care.
The ideal candidate will coordinate referral cases, strengthen relationships with referring veterinary clinics, assist with community outreach initiatives, and support communication between departments while maintaining a high standard of professionalism, compassion, and organization.
This role requires frequent local travel (up to 75%) throughout the Chattanooga veterinary community, with occasional overnight travel for networking, outreach, and business development opportunities.
Key Responsibilities
- Â Serve as the main point of contact for referring veterinarians and pet owners regarding specialty and emergency referralsÂ
- Â Coordinate referral intake, consultations, procedures, and follow-up careÂ
- Â Ensure timely transfer of medical records, diagnostic imaging, and laboratory resultsÂ
- Â Maintain professional communication with veterinary clinics via phone, email, and EMR systemsÂ
- Â Ensure referring veterinarians receive discharge summaries and case updates promptlyÂ
- Â Address questions and concerns from clients and referring practices with empathy and professionalismÂ
- Â Build and maintain strong relationships with referring veterinary hospitals and clinic teamsÂ
- Â Conduct regular in-person visits to veterinary clinics throughout the regionÂ
- Â Deliver educational materials, case follow-ups, and hospital updates to referring partnersÂ
- Â Assist with organizing Continuing Education (CE) events, networking opportunities, and referral outreach initiativesÂ
- Â Gather feedback from veterinary clinics to improve referral workflows and client experiencesÂ
- Â Represent the hospital at veterinary conferences, networking events, and community outreach functionsÂ
- Â Support and maintain referral-focused social media and communication initiativesÂ
- Â Collaborate with veterinarians, technicians, and specialty departments to prioritize urgent referralsÂ
- Â Coordinate scheduling for consultations, surgeries, and emergency transfersÂ
- Â Help optimize referral workflows and interdepartmental communicationÂ
- Â Maintain accurate referral records and reporting metricsÂ
- Â Participate in team meetings and operational improvement initiatives
Skills Knowledge and Expertise
- Â Excellent communication, customer service, and relationship-building skillsÂ
- Â Strong organizational skills with the ability to manage multiple priorities simultaneouslyÂ
- Â Experience working in a veterinary hospital, animal healthcare setting, or client service environmentÂ
- Â Knowledge of veterinary terminology and medical procedures preferredÂ
- Â Comfortable using electronic medical records (EMR) systems and hospital softwareÂ
-  Valid driver’s license and reliable transportation requiredÂ
- Â Ability to travel locally up to 75% of the timeÂ
- Â Certified Veterinary Technician (CVT, RVT, or LVT)Â
- Â Experience in veterinary practice management, veterinary referral coordination, or veterinary client relationsÂ
- Â Experience in a specialty or emergency veterinary hospitalÂ
- Â Background in veterinary sales, outreach, or business developmentÂ
- Â Social media or veterinary marketing experience is a plus
