Position Title: Venue Experiences Supervisor - Advancementย

Position Summaryย 

The Venue Experiences Supervisor (Advancement) supports the planning and execution of donor and member events that deepen relationships and highlightย Pacificย Science Centerโ€™s impact. This role oversees onsite event operations, serves as theย pointย person for escalations and cross-department coordination, and helps develop and improve Advancement and Venue Experiences programming.ย 

Working closely with the Venue Experiences Manager, this position ensures events are well-executed, guest-centered, and aligned with Advancement goals, whileย maintainingย strong communicationย with staff, vendors, and internal partners.ย The VXย Supervisorย role willย predominantly workย on Advancement events but alsoย assistย with all Venue Experiences including privateย eventsย and public programming. Weย envisionย this role to beย split asย 75%ย Advancement focused andย 25%ย in supporting the Venue Experiences team and programming.ย ย 

Essential Duties & Responsibilitiesย 

Advancement Event Planning & Productionย 

  • Support planning,ย logistics, and execution of donor cultivation and stewardship events, includingย annual Luncheonย fundraisers,ย special receptions for donors, members, and corporate sponsors,ย VIPย previews,ย 21+ events,ย and donor-focused programsย under the leadershipย of the Venue Experiences Managerย in coordination with the Advancement Team.ย 

  • Assistย with special donor experiences connected to exhibits, camps, Science on Wheels, and otherย PacSciย programming.ย ย 

  • Manage event details including budgets, timelines, staffing plans, vendor coordination, and run-of-show documents.ย ย 

  • Serve asย liaisonย with external vendors and production partners.ย ย 

  • Track attendance, engagement, and event metrics in CRM systems.ย ย 

  • Collaborate with the Venue Experiences Manager on development and improvement of Advancement and onsite programs.ย ย 

Customer Service & Guest Experienceย 

  • Provide exceptional service to donors, members, board members, and guests via email, phone, and in person.ย ย 

  • Act as the onsiteย leadย forย guest experience, ensuring smooth event flow, clear communication, and positive interactions.ย ย 

  • Respond to inquiriesย regardingย events, programs, and policies inย a timelyย andย accurateย manner.ย ย 

  • Monitor guest flow (entry, queuing, transitions) and proactively address issues.ย ย 

  • Handle escalated guest concerns professionally and resolve to a high standard.ย ย 

  • Support transaction processing, including cash handling when needed.ย ย 

  • Maintainย accurateย data entry related to donor interactions and participation.ย ย 

Staff Supervision & Operational Supportย 

  • Assistย with recruiting, training, and supporting staff and volunteers for Advancement events.ย ย 

  • Provide leadership and direction to onsite staff and contracted event personnel.ย ย 

  • Step into operational roles as needed to ensure event success.ย ย 

  • Ensure compliance with policies and procedures, including food service and alcohol regulations.ย ย 

  • Review invoices and CRM entries for accuracy and correct as needed.ย ย 

  • Provide feedback andย support performanceย management, including disciplinary actions when necessary.ย ย 

  • Foster a structured, supportive, and collaborative team environment.ย ย 

Cross-Departmentย Coordinationย 

  • Serve as a key liaison across departments including Advancement, Marketing, Membership, Guest Services, Facilities, and Exhibits.ย ย 

  • Communicate event needs, operational updates, and guest experience considerations.ย ย 

  • Ensure alignment across teams to support seamless event execution.ย ย 

  • Represent the guest perspective in operational planning and decision-making.ย ย 

Safety & Facility Oversightย 

  • Ensure safety and security of guests, staff, andย exhibitsย during events.ย ย 

  • Enforce institutional policies, including ID checks and facility rules.ย ย 

  • Identifyย and respond to hazards or operational concerns.ย ย 

  • Oversee opening and closing procedures to ensure the building is secure.ย ย 

Supervisory & Program Responsibilitiesย 

  • Lead onsite execution of Advancement events from setup through breakdown.ย ย 

  • Support the full event lifecycle when needed (sales, contracting, planning, execution).ย ย 

  • Assistย with other Venue Experiences events during periods of lower Advancement activity.ย ย 

  • Resolve scheduling, facility, and guest use conflicts.ย ย 

  • Oversee setup/takedown of event spaces and activities (including 21+ events).ย ย 

  • Evaluate event success through surveys, observations, and reporting;ย identifyย opportunities for improvement.ย ย 

  • Maintain inventory andย submitย supply requests as needed.ย ย 

  • Perform other duties as assigned.ย ย 

Qualificationsย 

Required:ย 

  • Minimumย 3ย yearย experience in events, hospitality, fundraising, membership, or related fieldย ย 

  • Experience executing events of varyingย scaleย (e.g., receptions, luncheons, VIP events)ย ย 

Preferred:ย 

  • Degree in hospitality, fundraising, public relations, or related fieldย ย 

  • Experience in event coordination or nonprofit fundraising environmentsย ย 

  • Familiarity with licensing and permitsย 

Skills & Competenciesย
