Receiving Coordinator

Summary:

Responsible for managing all inbound shipments to ensure materials are received accurately, safely, and in compliance with company policies, food safety standards, and regulatory requirements. This role serves as the gatekeeper of inventory accuracy- verifying, documenting, and coordinating incoming goods from vendors.

Key Responsibilities:

Inbound Receiving Operations

  • Coordinate and schedule incoming deliveries with vendors and carriers
  • Receive, inspect, and verify shipments against purchase orders and bills of lading
  • Ensure all materials are properly labeled and documented upon arrival
  • Report shortages, damages, and discrepancies immediately

Inventory Control

  • Maintain real-time inventory accuracy for raw materials and packaging
  • Coordinate product placement with warehouse staff
  • Conduct and assist with inventory audits

Food Safety & Compliance

  • Ensure all incoming materials meet GMP (Good Manufacturing Practices) standards
  • Inspect for contamination risks, pest evidence, or damaged packaging
  • Maintain compliance with Food and Drug Administration (FDA) and company food safety programs

Documentation & Recordkeeping

  • Maintain accurate receiving logs and shipping documentation
  • File and retain records in accordance with audit and regulatory requirements
  • Prepare reports on receiving activity, discrepancies, and vendor performance

Communication & Coordination

  • Communicate with Purchasing, Quality Assurance, and Production teams regarding incoming materials
  • Coordinate unloading and staging with warehouse personnel
  • Resolve vendor and carrier issues in a timely and professional manner

Safety Responsibilities

  • Follow all company safety procedures and warehouse protocols
  • Ensure safe unloading practices and proper use of equipment
  • Report unsafe conditions or incidents immediately

Candidate Qualifications:

Preferred: Food Manufacturing experience

Required: Forklift Operator | High school diploma or GED | Warehouse Experience

Other Knowledge, Skills or Abilities Required:

  • Ability to read and interpret shipping documents and purchase orders
  • Strong attention to detail and organizational skills
  • Excelled understanding of forklift operations
  • Effective communication and problem-solving skills
  • GMP, SSOP, HACCP, SQF and all food safety/pre-requisite program trainings
  • Basic computer skills (Excel, email, data entry)
  • Must follow health regulations and guidelines for food production requirements

Physical Demands of Position:

Employee is regularly required to stand, walk, balance, stoop, kneel, and/or crouch throughout the duration of work shift. Required to lift up to 50 pounds frequently, and occasional lifting more. The ability to work in a warehouse environment (Varying temperatures, noise levels)

Work Environment:

  • Warehouse and receiving dock setting
  • Safely update different types of forklifts, pallet jacks, and other equipment
  • May require flexible hours depending on delivery schedules
  • Ability to work at heights

Shift Hours:

  • 1st Shift -6 am to 2 pm (Monday to Friday)
