Position Overview
As an Executive Administrator supporting the Business Development team, you will serve as a strategic partner to senior leadership by providing high-level administrative, operational, and business development support. This role requires exceptional organizational skills, discretion, strong communication abilities, and the capacity to manage multiple priorities in a fast-paced environment. You will play a key role in coordinating client engagement activities, managing executive calendars, supporting proposal and pursuit efforts, and ensuring seamless execution of business development initiatives. This position requires a proactive, detail-oriented professional who can anticipate needs, facilitate communication, and contribute to organizational growth. The structure of this role is based on responsibilities found in internal administrative and senior administrative position descriptions.

Responsibilities
  • Executive Support
    • Manage complex executive calendars, travel arrangements, meeting coordination, and scheduling.
    • Prepare and edit correspondence, presentations, reports, and executive communications.
    • Coordinate executive meetings, leadership events, and strategic planning sessions.
    • Prepare meeting agendas, capture action items, and track follow-up activities.
    • Handle confidential information with professionalism and discretion.
    Business Development Support
    • Assist with proposal development, qualification packages, presentations, and client-facing materials.
    • Coordinate pursuit activities, client meetings, industry conferences, and networking events.
    • Maintain business development databases, contact lists, and opportunity tracking systems.
    • Support CRM management, pipeline reporting, and market intelligence efforts.
    • Monitor and track key pursuit milestones and deliverables.
    Client & Market Engagement
    • Coordinate client visits, executive briefings, and project tours.
    • Assist with preparation of market analyses, competitive intelligence, and business development reports.
    • Support sponsorships, memberships, conference registrations, and industry association participation.
    • Build and maintain positive relationships with internal and external stakeholders.
    Administrative & Operational Excellence
    • Process expense reports, invoices, purchase requests, and vendor communications.
    • Maintain department records, filing systems, and tracking tools.
    • Support office operations and special projects as assigned.

Qualifications
  • Required:
    • High School Diploma or equivalent; Associate's or Bachelor's degree preferred.
    • 5+ years of executive administrative, office management, or business support experience.
    • Experience supporting senior leaders, executives, or business development teams.
    • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
    • Excellent verbal and written communication skills.
    • Exceptional organizational, multitasking, and time-management abilities.
    • Ability to work independently and manage confidential information.
    Preferred:
    • Experience supporting construction, engineering, energy, or technical services organizations.
    • Experience with CRM platforms such as Salesforce, Dynamics, or similar systems.
