Job Description

The Site Administrative Coordinator provides full time administrative support to USACS System/Site Medical Directors and other site leadership to help in daily operations by performing and/or overseeing clerical, administrative, reporting and office management functions. Acts as the liaison between USACS locations and regional leadership, corporate office personnel, physicians, patients, and hospital personnel.

LOCATION: Nacogdoches, Texas

This position is fully onsite at Nacogdoches Medical Center South Campus in Nacogdoches Texas.

The position is providing adminstrative support for three locations within the Nacogdoches system.

The ideal candidate is within communting distance to Nacogdoches, Texas.

ESSENTIAL JOB FUNCTIONS:

  • Assist System/Site Medical Director(s) and additional site leaders as directed. This may include Assistant Director(s), EMS Director(s), Quality Director(s), APP Leadership at multiple USACS locations.
  • Coordinate all aspects of the ED and inpatient administrative office at USACS locations to provide effective and professional interactions with hospital department to assist USACS site leadership and provide high level, quality support.
  • Develop relationships with hospital personnel to support the USACS contract at the site. Work closely with executive administrative staff at hospitals to coordinate schedules and be the point of contact for multiple Medical Directors and other leadership roles within USACS team.
  • Coordinate Outlook calendar for Medical Director(s) and other USACS clinical leadership and manage meetings with leadership team and hospital administration. Interact with hospital leadership and USACS clinical leadership and coordinate multiple schedules. Integrate Zoom options into Outlook meetings and manage the Zoom meeting to ensure audio/visual is working and attendees have access.
  • Coordinate meeting agendas and attend all required meetings to create minutes for distribution.
  • Manage Workday Expense submissions for Medical Director(s) (and other clinicians, as needed). Follow progress through to final approvals.
  • Manage new clinician onboarding process at all assigned locations including scheduling orientation, EMR training, receipt of ID badges, tours, meetings, dinners.
  • Support site clinicians with corporate systems usage (Workday, Workday Expense, Shift Admin, TCL). Provide direction, as needed. Connect with IT to ensure issues are resolved, when necessary.
  • Coordinate site recognition programs.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Attention to detail and ability to produce extremely accurate work.
  • Ability to work with people at all levels of the organization and with our hospital partners. Ability to communicate with employees, physicians, management, and external business contacts in a courteous and professional manner. Must have knowledge and proper usage of correct English and grammar.
  • Ability to maintain highly confidential information.
  • Ability to process assigned duties in an efficient amount of time and in an organized manner. Ability to proactively anticipate needs and to work accurately and successfully in a timely manner with limited amount of supervision.

EDUCATION AND EXPERIENCE:

  • Bachelor's Degree preferred
  • Minimum of three years' administrative experience required
  • Must have thorough knowledge of and skill in using personal computer in a Windows environment with strong emphasis on processing electronic documents/attachments with Adobe, spreadsheets (Excel Intermediate to Advanced Level), presentation, and database applications and Internet usage.

PHYSICAL DEMANDS:

  • While performing the duties of this job, the employee is regularly required to sit for prolonged periods and occasionally walk, stand, bend, stoop, and lift up to 15 pounds.
  • Required to have close visual acuity to perform job.

Hourly Rate: $21.59 - $39.94

Hourly rate may be determined on several factors including but not limited to knowledge, skills, experience, education, geographical location and requirements stated in job description.
