Job description

Summary: The primary role of the Receiving Coordinator is to ensure accurate shipments and receipt of raw material, ingredients and packaging specific to the PO requirements.

Primary Responsibilities:

The duties for this position include but are not limited to the following:

  • Communicate clearly and accurately with all levels of the organization on logistics related issues.
  • Maintain and log documentation and specifics for future shipments.
  • Set receiving appointments.
  • Contract carriers for daily LTL and TL delivered shipments for any incoming raw material, ingredients and packaging.
  • Continuous communication with contracted carriers and internal departments.
  • Keep accurate appointment schedule on SharePoint and for security at the loading dock area.
  • Notify appropriate team members of cancelled or rescheduled shipments.
  • Keep receiving spreadsheet on SharePoint, marking appointments and removing received goods.
  • Notify carriers of fee for all missed scheduled appointments.
  • Prepare in advance of shipment all customs paperwork needed for shipments out of the US.
  • Pack and ship orders for sample portal, online store and internal requests.
  • Enter shipment details into UPS World Ship website, monitor and approve UPS freight invoices.
  • Communicate with marketing, sales reps, brokers and R&D on a regular basis regarding incoming ingredient, packaging or equipment shipments, samples, order errors, delays, etc.

Qualifications:

To be eligible for this position, candidates should meet the following requirements:

  • High school diploma or equivalent
  • Prior logistics experience
  • Proficiency in MicroSoft Suite (Excel, Word, etc.)
  • Ability to make decisions and handle difficult situations with multiple parties
  • Excellent communication and organizational skills
  • Self-motivated with a positive attitude
