Job description

Position Summary:

The Unit Secretary - Hospice House reports to the Team Manager of the Hospice House. This individual is responsible for general secretarial duties, which support the nursing functions at the Hospice House to include telephone communication with the public and welcoming visitors to the facility.

Workplace behavior, duties and responsibilities:

1. Alerts appropriate clinical staff if patient expresses or indicates pain is present.

2. Transcribes all physician orders to appropriate forms and requisitions accurately and in a timelymanner.

  • Checks all charts for STAT, now, and immediate orders and completes them first.
  • Faxes physician orders to pharmacy.
  • Routinely places appropriate forms on chart with reminders.
  • Notifies departments appropriate for task (i.e., dietary changes, treatments, repairs)

3. Notifies nursing staff and other necessary departments of STAT, now or immediate orders.

4. Answers patient's call lights in a timely manner & conveys the patient's need to the nursing staff. a. Utilizes patient intercom.

5. Files incoming reports on the medical record.

6. Manages the medical record upon admission, discharge, transfer or death.

  • Is able to identify contents of chart.
  • Thins chart correctly.
  • Notifies nurse of admission.
  • Greets patient and family with courtesy and respect.
  • Has patient escorted promptly to room.
  • Transcribes physician orders.
  • Notifies admissions office after dismissal or death.

7. Displays courtesy to professionals in the treatment of patients and families.

  • Receives, greets and directs patients, families, visitors and hospital staff in a courteous and friendly manner.
  • Uses appropriate telephone etiquette: Identifies self and unit when answering phone.
  • Handles telephone requests with courtesy, accuracy and respect.

8. Provides for personal environmental safety in accordance with hospital and nursing policies and procedures.

  • Able to locate nursing policies and procedure manual.
  • Notifies other departments when necessary for any of the identified procedures.
  • Notifies appropriate personnel when necessary to obtain equipment or appropriate supplies
  • In case of fire, close off area; if evacuated, take Kardex.

9. Demonstrates a cooperative effort to help and receive help from other staff.

  • Demonstrates composed and calm manner and acts as a stabilizing factor on the nursing unit.
  • Conveys instructions, directions and information.
  • Responds to co-workers requests with concern and cooperation.
  • Communicates with all departments necessary with courtesy & respect.
  • Displays an unhurried, caring manner.
  • Works independently and without direct supervision.
  • Accepts direction and guidance as needed.
  • Sets priorities in order to complete workload on time.
  • Keeps work area clean and organized.
  • Maintains patient and employee confidentiality.
  • Is well groomed and conforms to hospital dress code.

10. Orders and maintains clerical supplies necessary for operation of the unit.

11. Communicates important information to appropriate staff member in a timely fashion.

12. Participates as a productive member of the health care team.

13. Assists with other unit activities as requested.

14. Displays a "customer service" attitude toward patients, visitors and other staff members at all times.

15. Abides by all safety, infection control and other guidelines in isolation.

  • Follows guidelines of contact with patients in isolation.
  • Utilizeshand-washing techniques.
  • Reports personal symptoms of suspected illness or contagious disease to the employee health nurse.
  • Demonstrates knowledge of universal blood & body fluid precautions.

16. Promotes an ethic of continuous performance improvement in all matters associated with the position, and specifically documents the specific performance improvement implementation as required.

17. Performs all other tasks and duties as may be assigned.
