Job Description:
This position is responsible for coordination of our very large department's two largest programs: the University Writing Program and Undergraduate Program, as well as the English for International Students program, which serves the entire LSU Community. Oversees course scheduling for over 600 courses a year, technology needs for over 150 faculty, GTAs, and staff, and key administrative tasks. Officially reports to the Assistant to the Chair but is in close, frequent consultation with the Chair and three Program Directors. Must use both technical skills and high level of independent judgment to evaluate and communicate needs, prioritize work, and maintain and update complex systems.
Job Responsibilities:
30% - Academic Support: Independently coordinates three programs, the University Writing Program, the Undergraduate Program, and English for International Students, working with over 5800 students a semester. Provides support and works directly and independently with directors of academic units in the development, coordination, and modification of course and section scheduling. Serves as the primary interface with the Registrar's Office, LSU Online, and other departments, including collaboration with academic units on scheduling procedures, operational and administrative issues related to academic course offerings. Advises academic staff on ongoing changes, policies, and procedures from the University Registrar's office.
30% - Academic Scheduling: Establishes and maintains an in-house database for implementing workflow patterns and operating standards to accommodate academic unit course/section scheduling requirements, generate reports, track enrollments and cancellation of classes, and to assist in future course/section planning. Analyze enrollment and scheduling data each semester for the Chair and program directors. Maintains and analyzes historical data on course offerings and course demand patterns and prepares planning summaries to support long-term decision making.
Coordinates with graduate director/coordinator to ensure seamless integration of schedule across programs. Develops and maintains custom online surveys as needed for course/time requests; reconciles instructor requests, qualifications, and teaching areas. Serves as the subject matter expert on all scheduling and troubleshooting issues for faculty and staff, adds/drops students from courses as required, and proofs schedule. Ensures all classes are filled to maximum capacity. Notifies students when classes must be cancelled and/or they need to find other sections.
Creates and maintains a detailed scheduling manual as a reference guide.
25% - Technology: Serves as departmental Technical Support Leader. Point of contact for all technical issues. Coordinates with ITS and provides leadership, knowledge of computer systems, and independent judgment to diagnose network, software, and hardware issues. Educates faculty on software/computer policy. Evaluates and prioritizes equipment needs, upgrade options and new equipment purchases; facilitates set-up, installation, and network connections; diagnoses network, software, and hardware issues; manages computer serves and specialized technical classrooms, as well as all classrooms under department control. Coordinates all department technology security; verifies software updates, antivirus, antimalware. Troubleshoots operating systems; updates faculty on IT security issues. Utilizes a variety of software and electronic programs in order to provide support to students and faculty including but not limited to Workday (Accounting/Asset Custodian and Scheduling, including finding rosters and waitlists), Blackbaud, Timekeeper and Student Employment Partner functions, MS Office including Access and Publishers; Hobson's Radius; Adobe Acrobat; Moodle; Qualtrics; LSU Inventory; software scanning application. Develops onboarding and quick-reference materials related to classroom technology and software access.
5% - Property Custodian: Coordinates all department inventory management with Property Management office protocols and procedures. Sends regular policy reminders to users, tracks equipment, prepares computers for surplus, surpluses obsolete items; directs secure removal, destruction, or archival or inactive records and files in paper and electronic form according to university and department file retention policies; directs search and removal of social security numbers in electronic and paper form; functions as the backup Building Coordinator when the primary coordinator is not available. Completes required inventory audit on time. Monitors and updates technology in computer supply room from semester to semester.
5% - Administrative Support: Coordinates with HRM on all ADA accommodations, manages the technology support budget allocation, oversees accounting and budget function for ordering and receiving supplies and equipment in coordination with chair and department accountant. Maintain continuity documents for rotating program directors, including annual calendars, deadlines, templates, contact lists, and workflow guides.
In the absence of administrative manager (Assistant to Chair), supervises all administrative office staff regarding HRM, Payroll, Leave, Building Maintenance, Procurement and Emergency Policies, and student payroll.
5% - Perform other duties as needed and assigned by supervisor and/or chair and directors in the administrative office.

Should a student appear in need of or seek assistance with issues of an emotional, behavioral, or mental health-related matter they should be referred to the proper service within the Student Health Center. In situations where the student creates an impression that they are a danger to themselves or others, the advisor should immediately contact the Care Team, the Dean of Students, or the appropriate law enforcement agency. outside of those rights contained within FERPA should create no impression of client or patient confidentiality
Minimum Qualifications
Bachelor's degree with 2 years related experience
