Job description

Front Desk Receptionist

The Front Desk serves as the first point of contact for visitors, customers, and employees, delivering professional and courteous service while supporting daily office operations. This role ensures smooth front office workflow, manages communications, and provides administrative and customer service support to multiple departments. The ideal candidate is highly organized, detail-oriented, and customer-focused with strong multitasking abilities.

Responsibilities Include:

  • Greet and assist all visitors in a professional and welcoming manner
  • Answer and direct incoming phone calls promptly and professionally
  • Manage voicemail messages and route inquiries to appropriate team members
  • Maintain a clean, organized, and professional reception area
  • Monitor, sort, and distribute incoming mail and packages daily
  • Process outgoing shipments (e.g., USPS, UPS) and coordinate delivery schedules
  • Scan and upload documents into internal systems (e.g., GP or similar platforms)
  • Organize and maintain essential paperwork, including signed PODs and records
  • Maintain office supplies, including breakroom and conference room inventory
  • Ensure conference rooms and shared spaces are organized and properly stocked
  • Run credit card transactions and assist with payment processing
  • Support invoicing processes and ensure timely completion of daily invoicing deadlines
  • Assist with order management, including collecting orders and generating fulfillment lists
  • Execute daily operational checklists (e.g., opening tasks such as office setup, radios, and system readiness)
  • Support internal reporting lists and distribution (e.g., DSM, Omaha, or site-specific lists)
  • Ensure end-of-day responsibilities are completed (e.g., securing doors, preparing for next business day)
  • Provide backup support to Customer Service during staffing shortages, including order entry assistance
  • Assist with phone coverage and financial processing for other business units when team members are out
  • Collaborate with internal teams to ensure efficient communication and workflow
  • Other duties as assigned

The Ideal Candidate Will Have:

  • High school diploma required; associate degree preferred
  • 2+ years of administrative, receptionist, or office support experience
  • Strong customer service and interpersonal skills
  • Experience with phone systems, data entry, and basic office systems
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Strong organizational and multitasking abilities
  • Ability to prioritize work in a fast-paced environment
  • High attention to detail and professionalism
