Operations Administrative Assistant

Schedule: Monday to Friday, 7:00 AM – 3:30 PM
Full-Time | Hourly Position ($23.00–$28.00/hour DOE)

About the Role

Building Electronic Controls (BEC) is looking for a highly organized, proactive Operations Administrative Assistant to support our Construction Operations team.

This position is ideal for someone who learns quickly, enjoys staying organized, takes initiative, and thrives in a fast-paced environment. Every day is different, so we're looking for someone who can adapt, prioritize, and jump in wherever needed.

You'll provide administrative support to multiple departments while helping maintain accurate project documentation from design through project closeout.


What You’ll Do:

  • Serve as the first point of contact by answering the main phone line and greeting visitors.
  • Provide administrative support to the Operations and Design Departments.
  • Respond to customer and internal email inquiries promptly and professionally.
  • Upload drawings and project documents into Fieldwire.
  • Print and scan drawings.
  • Coordinate as-built drawings, scanning, and UPS shipments.
  • Assemble O&M manuals, warranties, and project closeout packages.
  • Compile product data submittals, CSFM listings, and updated manufacturer data sheets.
  • Maintain organized project files.
  • Assist with general office organization.
  • Perform data entry and other administrative tasks as assigned.

  • Strong organizational and communication skills.
  • Ability to maintain confidentiality and professionalism.
