The Project Coordinator provides confidential support to the Credit Union, Management, and Board. Oversees the contract lifecycle by coordinating reviews, approvals, and execution, ensuring agreements are tracked, compliant, and processed efficiently. Serves as a liaison among internal teams, vendors, and compliance, maintaining documentation and supporting contract administration. Also assists the Executive Assistant and Project Administrator, balancing urgent daily tasks with thirdparty contract oversight.

What You'll Do:
  • Contract Administration - Oversight of contract inquiries, processing, tracking, and compliance. Field and route contract inquiries. Manage contract lifecycle.
  • Vendor Due Diligence & Documentation - Coordination of vendor documentation, SME reviews, risk research, and record maintenance. Coordinate documentation and compliance across internal teams and vendors.
  • Process Improvement & Project Coordination - Identifying workflow improvements and supporting duediligence activities for new projects.
  • Emergency Response Program Management - Administration of emergency plans, updates, testing, and supply tracking.
  • Executive & Board Support - Administrative support, meeting preparation, reporting, and Board packet coordination.
  • Intranet/Extranet & Policy Administration - Maintaining internal systems, policies database, and governance documentation.
  • Audit & Compliance Support - Assistance with internal and external audits and compliance tasks.
  • Documentation & Records Management - Managing executive files, shared drive records, timelines, and document integrity.
  • Member & Employee Experience - Cultivate a positive, respectful, and collaborative culture across the organization. Champion a caring and inclusive environment for both employees and members, aligned with the Credit Union's mission and values.

    Requirements

    • High school diploma and prior administrative or clerical experience required.
    • Experience in contract administration, procurement, vendor management, legal support, project coordination or a related business function preferred.ย 
    • Demonstrate ability to coordinate cross-functional approval workflows involving legal, compliance, Information Security, Risk Management and third-party providers preferred.
    • Detail-oriented with excellent communication skills, time management, and ability to interact with management, vendors, and cross-functional teams.
    • Strong MS Office skills.
    • Ability to adhere to occasional non-traditional office hours.
    • Strong organizational skills with the ability to multitask and prioritize effectively.

    This hybrid role is a 90-day temp-to-hire position at our corporate office, with compensation of $23.00-$28.00 per hour, based on qualifications.
