Position Summary

The Human Resources Generalist serves as a key member of the School of Education and Information Studies (Ed&IS) Human Resources team, providing comprehensive support across a broad range of human resources functions. Reporting to the Manager of Human Resources & Academic Personnel, the incumbent supports the full employee lifecycle for staff employees, including recruitment, onboarding, payroll administration, leave and benefits administration, timekeeping compliance, employee relations, personnel transactions, and general human resources operations. The Human Resources Generalist serves as a resource to managers, supervisors, and staff by interpreting policies and procedures, responding to HR-related inquiries, and providing guidance on both routine and non-routine human resources matters. As one of the School's primary subject matter experts for the University of California personnel and payroll system (UCPath), the Human Resources Generalist ensures the accurate and compliant administration of payroll, personnel, and employment actions in accordance with University policy and applicable federal and state regulations. Responsibilities include coordinating new hire documentation, monitoring payroll processing, supporting timekeeping compliance, reviewing employment transactions, and serving as the School's primary contact for payroll-related inquiries. The incumbent works closely with the UCPath Center, Campus Human Resources (CHR), Central Resource Unit (CRU), and other campus partners to resolve payroll and personnel issues and ensure timely and accurate outcomes. The Human Resources Generalist plays a critical role in maintaining the accuracy and integrity of employment and payroll data through payroll and personnel audits, compliance reporting, workforce data management, and the review and reconciliation of monthly and biweekly personnel and payroll reports. The incumbent analyzes issues as they arise, exercises sound judgment in determining appropriate resolutions and next steps, identifies and escalates complex matters when necessary, and recommends solutions that support operational effectiveness and compliance. In addition, the Human Resources Generalist supports organizational effectiveness by assisting with the development, coordination, and delivery of staff training and professional development programs, including Learn-at-Lunch initiatives and other departmental programs. The incumbent contributes to the creation and maintenance of HR resources, training materials, standard operating procedures, and internal documentation; drafts school-wide HR communications; and contributes to continuous improvement efforts by identifying opportunities to enhance processes, strengthen compliance, improve service delivery, and promote an effective employee experience. The position works collaboratively with Ed&IS managers, professional staff, the Business Office, and campus partners, including the UCPath Center, Central Human Resources, the Central Resource Unit, the Division of Graduate Education, and other administrative units. The incumbent also partners with members of the HR team to develop departmental resources, training tools, tracking systems, staffing reports, and databases that support workforce planning, case management, compliance monitoring, and timely follow-up on personnel actions. Additionally, the Human Resources Generalist serves as the School's Commute Coordinator, administering parking and transportation programs through the campus ePermit system. Success in this role requires strong analytical, organizational, and problem-solving skills; the ability to interpret and apply policy; sound judgment and initiative; exceptional attention to detail; the ability to independently prioritize competing responsibilities; and a commitment to providing outstanding customer service while maintaining the highest level of confidentiality and professionalism.


Salary & Compensation

Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications
  • 2-4 years Experience working in an administrative department, preferably at an institution of higher education. (Required)
  • 2+ years Working in Human Resources or Payroll (Required)
  • Experience using UCLA proprietary systems, including UC Path, Time Reporting Systems (TRS), Online Financial System Reports (OFSR), Recharge Order Request System (ROR), Cognos, iCIMS & JDXpert. (Preferred)
  • Experience with using a PC and proficiency in using Microsoft Office software in a Windows environment. (Word, Excel, Outlook, etc.) (Required)
  • Experience working with HRIS systems/ticketing systems (SalesForce, Service Now, FreshService, etc.). (Preferred)
  • Knowledge of human resources principles, practices, and procedures related to recruitment, onboarding, employee relations, leave administration, compensation, and payroll. (Required)
  • Knowledge of University of California personnel and payroll policies, collective bargaining agreements, personnel programs, and HR-related procedures. (Preferred)
  • Knowledge of payroll and timekeeping principles, practices, and procedures, including leave accruals, payroll adjustments, time reporting requirements, and applicable payroll regulations; demonstrated ability to apply advanced mathematical and quantitative skills to accurately calculate salaries, payroll transactions, leave accruals, expense transfers, financial analyses, and other personnel and payroll-related actions. (Required)
  • Demonstrated interpersonal skills, including the ability to interact effectively with senior-level administrators, staff, faculty, students, and the public using tact and diplomacy. (Required)
  • Skill in writing and editing grammatically correct and logically organized documents such as memos, correspondence, and job postings. (Required)
  • Ability to maintain strict confidentiality of information related to financial and personnel matters. (Required)
  • Demonstrated ability to make oral, group, or one-on-one presentations for the purpose of providing information, explaining policies and procedures, and answering questions. (Required)
  • Excellent skill in counseling techniques to assist staff and student employees with sensitive and confidential employee relations issues. (Required)
  • Understanding of employee engagement, employee & labor relations, and organizational development. (Required)
  • Ability to effectively prioritize and manage a diverse workload consisting of multiple concurrent projects, personnel actions, and regulatory deadlines in a fast-paced human resources environment. (Required)
  • Skill in analyzing information, identifying issues, and developing practical solutions to resolve personnel, payroll, and operational challenges. (Required)
  • Ability to work independently with minimal supervision, using initiative and resourcefulness in performing job duties in areas of responsibility, and in the execution of additional duties as assigned. (Required)
