Job description

SUMMARY OF POSITION: The UCG Campus and Graduate Services Manager will manage the day-to-day operations at Converse University's off-campus instructional site at the University Center of Greenville (UCG), where the position's primary work location will be based. Serving as a key liaison between the UCG and Spartanburg campuses, the manager will maintain a regular presence in Spartanburg to support cross-campus collaboration and graduate enrollment initiatives. The manager handles facilities and maintenance requests, schedules classroom and office space, and coordinates with University Center staff and other UCG partners. This person supports all Converse faculty and students who teach or attend classes at the UCG campus, represents Converse University in the Greenville community, and assists with admissions inquiries at UCG. Additionally, the manager works closely with admissions counselors and other colleagues on the Spartanburg campus to support overall graduate student recruitment and enrollment efforts.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Campus Manager at University Center 40%

  • Serve as a primary point of contact for graduate students regarding academic processes, university resources, student concerns, and student success initiatives.
  • Schedule classroom and office usage, and communicate them to UCG and Converse.
  • Coordinate with UCG staff and other members of the University Center/McAllister Square team
  • Develop and maintain good relationships with all UCG partners and vendors
  • Receive and process UCG bills and budget items
  • Maintain supplies, schedule copier maintenance, and acquire furnishings
  • Track enrollment for proper UCG billing
  • Coordinate with Emerge staff and support them
  • Promote the UCG programs at Converse to the public and internally
  • Encourage student service supports for our UCG students
  • Participate in promotional events coordinated by the University Center
  • Supervise a graduate assistant during the academic year

Graduate Programs Coordinator & Student Support 40%

  • Coordinate key graduate program activities, including EdD Orientation, comprehensive examinations, hooding ceremony, and graduation-related processes.
  • Maintain and update graduate program materials, including the EdD and MiM Handbook and graduate student and faculty handbooks, through Clean Catalog.
  • Support EdD students throughout the dissertation process, including coordination of proposal and defense meetings, scheduling student/faculty topic meetings, course registration advising, academic progress documentation, committee communications, conducting 1-1 dissertation format reviews, and managing final submission requirements.
  • Provide dissertation template training, develop and maintain graduate student resources, training materials, and instructional guides to support student success
  • Assist EdD, MiM, and MMFT students with course registration, enrollment, and student services matters.
  • Coordinate Graduate Council operations, including form preparation, voting records, policy documentation, and implementation of approved actions.
  • Maintain and update graduate academic policies, procedures, and catalog content in collaboration with faculty and university leadership through Clean Catalog.
  • Provide Canvas LMS support and training assistance for graduate adjunct faculty.
  • Assist MMFT program faculty with interview days, orientations, open houses, career fairs, and other student engagement events.
  • Provide administrative and operational support to graduate faculty, including assistance with technology, office space, and instructional needs at UCG.
  • Support the Dean with special projects and strategic initiatives.
  • Perform other duties as assigned.

Graduate Recruitment, Admissions, and Marketing Support 20%

  • Serve as a liaison between the University Center of Greenville and the Spartanburg campus to support graduate recruitment, enrollment initiatives, and prospective student engagement.
  • Provide SLATE support and training assistance for graduate faculty.
  • Collaborate closely with admissions counselors and graduate faculty to facilitate timely application review processes and respond to prospective student inquiries regarding graduate enrollment.
  • Coordinate with the marketing and communications team to support promotion of graduate programs and recruitment initiatives.
  • Manage and maintain graduate program social media platforms to enhance visibility, engagement, and recruitment efforts.

JOB QUALIFICATIONS

Minimum qualifications:

-Bachelor's degree and a minimum of 3 years' experience in a higher education or equivalent setting.

Preferred Qualifications:

-Master's degree in education or administration and 5 years of related experience working as a manager within an academic environment.

-Experience with Slate and/or Jenzabar and Canvas LMS

Knowledge/Skills/Abilities: Proficient with Microsoft Word, PowerPoint, Excel, SLATE, and maintaining the Google Drive file system. Strong interpersonal communication skills. Organization and ability to prioritize tasks. Ability to work independently. Strong technical support skills. Clean Catalog program experience.

GUIDELINES AND SUPERVISION: Ability to work independently and with very little supervision. The position reports to the Dean of Education and the Graduate School and will primarily work at UCG. Some travel to the main campus in Spartanburg will be required.

Work Schedule: Monday-Thursday 8:00 am-5:00 pm & 8:00 am - 1:00 pm Friday; May require additional weekend/evening hours to provide programmatic support as needed.
