Role Overview:
The Program Assistant will work with the Administrative Manager and Director of the TRIO Programs to help ensure that day-to-day office operations are organized, responsive, accurate, and student-centered.
The Program Assistant's primary responsibilities include program record keeping, reception and customer service, data entry, filing and document management, preparation of materials, student communications, and general office support. As a front-line representative of TRIO, the Program Assistant greets students and visitors, responds to routine questions, appropriately routes inquiries, and helps maintain a welcoming and professional environment. Because the position may work with student records and other program information, the Program Assistant is expected to exercise discretion, accuracy, and appropriate confidentiality always.
The Program Assistant also supports outreach, recruitment, communications, and special events by assisting with tabling, orientations, resource fairs, event logistics, attendance tracking, promotional materials, newsletters, social media content, and other student-facing communications. The position provides broad operational support across TRIO Programs and contributes to the systems and services that help staff effectively serve program participants.
Program Overview:
The University of Utah's TRIO Programs provide a comprehensive continuum of college access, preparation, transition, and academic success services designed to increase educational opportunity and postsecondary degree attainment for students who have historically faced barriers to higher education. Through TRIO Upward Bound (UB) and TRIO Student Support Services (SSS), the University supports students from high school through completion of their first bachelor's degree by providing individualized advising, academic support, tutoring, college and career exploration, financial aid and financial literacy guidance, educational enrichment, and opportunities that strengthen students' academic skills, confidence, self-advocacy, and sense of belonging. Together, the programs foster supportive and student-centered communities that empower participants to navigate educational systems, persist toward their goals, and successfully complete postsecondary education.
Funded by the U.S. Department of Education, the TRIO Student Support Services (SSS) program receives $409,067 annually to serve 225 eligible University of Utah students who are low-income, first-generation college students, and/or students with disabilities, while the TRIO Upward Bound (UB) program receives $502,258 annually to serve 95 low-income and first-generation students across four target high schools in the Salt Lake City metropolitan area.
Responsibilities
Provide front-desk reception and general customer service by greeting students and visitors, notifying staff of arrivals, answering incoming phone calls, taking and routing messages, and directing inquiries to the appropriate TRIO staff member or University office.
Respond to routine questions regarding TRIO programs, services, eligibility, events, and participation requirements using approved program information; refer questions requiring professional judgment or interpretation to appropriate staff.
Assist with program record keeping by entering, updating, organizing, and verifying student and service information in spreadsheets, databases, electronic files, and other approved systems under staff direction.
Maintain accurate, organized, and retrievable electronic and paper filing systems for student records, program documents, attendance records, forms, correspondence, and other materials in accordance with established office procedures.
Maintain confidentiality and appropriately safeguard student records, personally identifiable information, and other sensitive program or University information encountered through assigned duties.
Represent TRIO at outreach events, orientations, resource fairs, and tabling opportunities to promote program services and recruit prospective participants.
Create and distribute student-facing communications, as well as assist with marketing and promotion of TRIO events and services, including social media content, newsletters, promotional materials, flyers, graphics, and event announcements, using established program branding and staff-approved messaging.
Assist with program operations and event logistics, including tabling, registration, attendance tracking, check-in, preparation and transport of materials, room setup, supply organization, participant communication, and event setup and takedown.
Support a clean, organized, and professional shared office environment by helping maintain reception, work, storage, and common areas and by returning program materials and supplies to designated locations.
Serve as a positive role model and ambassador for TRIO by fostering an inclusive, welcoming, respectful, and student-centered environment for participants, prospective students, families, campus partners, and visitors.

Preferences
Must have completed at least one academic year at the University of Utah before the position begins.
Must be in good academic and disciplinary standing with the University of Utah.
Must maintain a minimum cumulative GPA of 3.0 throughout employment.
Strong interpersonal, communication, and organizational skills.
Ability to maintain student confidentiality, exercise appropriate professional judgment, and maintain professional boundaries.
Ability to maintain accurate records and complete required program documentation in a timely manner.
Experience with or interest in event planning, student engagement, outreach, social media, graphic design, or marketing is preferred.
Prior customer service experience is preferred.
