Overview:
Our client, a leading research institution dedicated to advancing knowledge in astronomy and space sciences, is seeking a highly organized and proactive Staff Assistant to join their team. This pivotal role provides essential administrative and logistical support to ensure the smooth launch and operation of a new outreach program. Onsite Expectations: Fully Onsite
Compensation: $30-32/hr
Responsibilities:
• Facilitate scheduling, coordinate travel plans, and organize logistics for program activities, outreach events, and meetings.
• Prepare and process administrative documents such as travel authorizations, requisitions, and personnel requests with accuracy.
• Serve as Timekeeper, tracking hours and maintaining compliance with relevant policies for assigned staff.
• Gather and review documents to ensure they are complete and accurate for processing.
• Manage and respond to emails, calendar appointments, and scheduling requests for the Executive Director and team.
• Record meeting minutes and update project timelines to monitor progress and deadlines.
• Arrange event logistics for outreach and program launch activities.
• Oversee documents requiring approval and signature endorsements from leadership.
• Assist in coordinating special projects and office events to support team initiatives.
• Collaborate with other administrative staff to optimize workflow and task delegation.
Requirements:
• Proven ability to manage complex schedules and logistics efficiently.
• Strong familiarity with office management practices and maintaining detailed records.
• Knowledge of travel, procurement, and fiscal policies.
• Excellent written and verbal communication skills.
• Adept at using desktop and enterprise applications including MS Word, MS Excel, Google Suite, and communication tools such as email and Slack.
• Demonstrated organizational and time-management skills.
• Education: High school diploma or equivalent required; associate or bachelor's degree preferred.
