Description

The Administrative Assistants will primarily serve as floaters back filling for Administrative Assistants through the Passport Headquarters building in Washington, DC. This position will also serve as escorts for visitors and assist with heavy workload demands for the various offices.

QUALIFICATIONS:

  • Ability to adapt to changes in procedures and assignments.
  • Ability to establish working relationships at all organizational levels.
  • Ability to accurately manage tasks and assignments.
  • Ability to disseminate information and/or requests to all office personnel and compile responses.

DUTIES/TASKS:

  • Prepare written communications using a variety of office software, specifically Microsoft Word, PowerPoint, Publisher, Excel, and SharePoint.
  • Track and report official time and attendance records for all federal employees within the office through the Time and Attendance Electronic System.
  • Assist with travel arrangements using online Travel Manager System, (i.e., airfare, hotel, and rental car) and complete travel vouchers for employee reimbursement.
  • Answer incoming calls, manage mail, track memoranda, correspondence, and taskers, prepare briefing materials and compile reports; organize, type, collate and file; maintain personnel calendars and appointments, assist with ordering, tracking, receiving inventory.
  • Liaise with building management.
  • Track and verify Government employee award/recognition payments.
  • Utilize Federal personnel rules and regulations.
  • Operate office equipment.
  • Process employees for badges and assist with new hire orientation and respond to routine questions on policy and procedures. 
  • Admit and welcome visitors into the facility and maintain visitor log-in files.
  • Provide support to other projects or tasks as required.

Requirements

EDUCATION/EXPERIENCE REQUIRED: 

  • Department of Defense secret clearance
  • High School Diploma (Associate's/Bachelor's Degree Preferred)
  • Two (2) years of Microsoft Office Experience (i.e., Word, PowerPoint, Excel, SharePoint and Outlook).
  • Two (2) years of office experience as an Administrative Assistant in office environment
