Role Description
The Event Planning Manager oversees all requirements for various group-related bookings secured by the Sales Department. They are responsible for enforcing the terms of the sales agreement and guiding meeting and event planners through the planning process. The manager communicates client needs and expectations to all relevant resort departments to ensure the successful execution of events and overall client satisfaction from the initial introduction through final billing. There is a heavy focus on managing corporate meetings and retreats.
To be successful in this position, you must enjoy taking ownership of your assigned meetings & retreats in addition to wedding and social events. Attention to detail is essential. This position will report to the Director of Events and will partner closely with the Event Planning Team to ensure all departments can meet the demands of the clients successfully. Your attention to detail, organization, and genuine caring will be critical to the success of our event. You take pride in the services you provide and feel a great sense of accomplishment when you receive the feedback from your guests that you just assisted with the "best event ever."
General Responsibilities
  • Plan and detail group and event functions from start to finish for all market segments, including SMERF (Social, Military, Educational, Religious, and Fraternal), Wedding, Corporate, Government, and Association-delivering unforgettable experiences from start to finish.
  • Obtain necessary information to ensure efficient event planning, including meeting room setups, food and beverage selections, AV requirements, activity & amenity options, on and off property transportation, etc.
  • Distribute information as required to all relevant departments, assemble initial planning information for group contact.
  • Prepare Banquet Event Orders, Resumes, Diagrams, and other related documents and distributes to property departments.
  • Coordinate distribution of Banquet Event Orders to Banquets, Culinary, and Restaurant departments.
  • Point person for group billing to include assembling estimates, reconciling invoices prepared by the finance team, and communication with group to receive final payment within company policies.
  • On-site contact during events to ensure group requests and problems are handled in a timely, professional manner while complying with company policies.
  • Be an active liaison between client and other Resort staff to ensure outstanding customer service while maintaining company procedures and complying with company policies.
  • Maintain all equipment and facilities in an organized, clean, safe environment.
  • Communicate any areas of need, problems, and concerns from guest to Director of Events.
  • Provide support to the Planning Team on site during requested events.
  • Complete additional tasks assigned by Director of Events or Director of Sales.

Experience/Qualifications
  • Two years' experience in the Conference Services, Wedding Industry, or a related discipline is preferred.
  • Four-year degree in Hospitality Management or related discipline beneficial
  • Excellent written and oral communication skills required
  • Positive interpersonal and customer service skills required
  • Strong project management skills required
  • Proficiency in the following software preferred; MS Word, Excel, Delphi, Springer Miller Systems
  • Experience in a 4-diamond resort or higher preferred
  • Ability to perform the physical requirements of position
  • Occasionally lifts/carries up to 50 lbs
