Job description

We're searching for a Referral Transcription Supervisor to provide day-to-day leadership, direction, and oversight to the Central Referral Intake team. This person serves as a resource for transcription staff and operational teams on matters related to incoming referrals, functioning as a subject matter expert and role model by delivering high-quality customer service to internal and external customers in accordance with organizational and departmental guidelines, policies and procedures.

Job Duties & Responsibilities

Determines staffing needs, sets schedules and manages PTO to maintain adequate daily coverage

Monitors referral inventory daily and adjusts work assignments to ensure service levels are met

Prepares and analyzes quality and productivity reports to identify issues and take corrective action

Supervises team members' performance to ensure productivity and quality metrics meet standards

Leads departmental touch base meetings and assists with additional departmental meetings

Conducts orientation and comprehensive training for new employees, ensuring requirements are completed and documented

Assesses staff competency, identifies training needs and delivers targeted training to improve performance

Develops and delivers performance reviews and performance management plans for direct reports

Participates in interviewing candidates, evaluating applicants and making employment recommendations

Performs timekeeping and payroll approval responsibilities for direct reports and monitors attendance and punctuality compliance

Meets regularly with departmental leadership to review, provide and obtain feedback on service quality

Performs productivity and quality management reviews and prepares for monthly one-on-ones with staff

Addresses customer service issues that require escalation, investigating and documenting all actions taken

Proactively provides guidance, information and solutions to customers and colleagues

Ensures timely and effective communication of strategic and operational messages to the team, and manages the implementation of change initiatives while maintaining service levels and employee morale

Skills & Requirements

High School Diploma or GED required, bachelor's degree in business or a healthcare related field preferred

3 years of experience in referral intake, data entry, clerical, customer service, healthcare coding, healthcare administration, business or clinical healthcare required

Supervisory experience preferred

A bachelor's degree in a Business or healthcare related field may substitute for 2 years of the required experience
