About the Role
This role is part Transaction Coordinator, part Operations Coordinator, and part workflow quarterback.
You'll help keep transactions, communication, compliance, and operational follow-up moving across both brokerage and property management operations.
Some days you'll be helping an agent clean up a transaction file before closing. Other days may involve coordinating maintenance follow-up, reviewing AI-generated communication before it goes out, handling operational escalations, or helping leadership stay organized on priorities.
We already use AI and automation heavily to reduce repetitive admin work. The goal is not to replace people. The goal is to remove unnecessary friction so our team can focus on higher-level work and better service.

What You'll Be Doing
Transaction Coordination
  • Manage transaction files from contract to close
  • Track deadlines, signatures, and compliance items
  • Coordinate with agents on missing paperwork and outstanding tasks
  • Support the Branch Manager with file review and exception handling
  • Maintain organized and compliant transaction records
Property Management Operations Support
  • Help bridge communication between brokerage and property management operations
  • Support Asset Managers with operational coordination and follow-up
  • Assist with owner, tenant, vendor, inspection, and maintenance workflows
  • Track recurring operational items like lease renewals, notices, inspections, and maintenance follow-up
  • Support AppFolio-related operational processes
AI-Assisted Workflow Support
  • Work alongside AI-assisted systems and automation tools
  • Review AI-generated communication and documentation before it goes external
  • Use AI tools to organize information, summarize conversations, document workflows, and improve efficiency
  • Help identify repetitive tasks that can be streamlined or automated

You do not need to be a programmer or AI expert.
You do need to be comfortable learning and using technology.
Communication & Follow-Up
  • Monitor incoming operational communication and route issues appropriately
  • Help ensure important items do not sit unresolved
  • Draft professional communication when needed
  • Maintain notes, reminders, and follow-up tracking
  • Escalate legal, compliance, broker-level, or sensitive matters appropriately
What We're Looking For
Required
  • Active Arizona Real Estate License
  • Tucson-based and available to work in-office full-time
  • Arizona transaction coordination experience
  • Property management experience
  • Familiarity with AppFolio or similar property management platforms
  • Familiarity with Lone Wolf Transact or similar transaction management systems
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities without losing control of follow-up
  • Professional communication skills
  • Good judgment and problem-solving ability
Preferred
  • Experience working inside a brokerage office
  • Experience supporting both sales and property management operations
  • Familiarity with:
    • Go High Level

  • Experience creating checklists, workflows, SOPs, or operational documentation
