Job description

Description
The Training Administrator provides day-to-day administrative and logistical support for companywide learning and development activities. This position is responsible for setting up, coordinating, and administering instructor-led, virtual, and blended training events through Sargent & Lundy's Learning Management System (LMS) and coordination with other communication tools.
The successful candidate will be highly organized, detail-oriented, service-focused, and comfortable managing multiple training events and deadlines at the same time. The role requires frequent coordination with Managers, instructors, participants, and other internal stakeholders to ensure that training activities are accurately scheduled, well communicated, and successfully delivered.
Essential Responsibilities
  • Schedule and administer training offerings, including course setup, session details, instructors, locations, registration requirements, and enrollment dates.
  • Process cancellations and rescheduling, and communicate registration or attendance requirements.
  • Maintain accurate course, session, learner, and attendance records in the LMS.
  • Work with stakeholders to advise of low enrollment, full sessions, schedule changes, or other issues requiring action.
  • Prepare and distribute participant communications, pre-work instructions, follow-up messages, and completion information through Microsoft Outlook and other approved communication methods.
  • Coordinate training schedules with relevant stakeholders.
  • Arrange in-person and virtual training logistics, room setup, catering or lunch arrangements, supplies, attendance tracking, and audiovisual notifications.
  • Support Microsoft Teams meetings add-ons, including links, recordings, breakout rooms, polls, and other features needed to support virtual delivery.
  • Support facilitators and participants before and during training events by escalating technology-related issues as appropriate.
  • Support post-event closeout activities, including logging attendance, distributing evaluations or resources, and storing class related artifacts.
  • Provide logistical and organizational support for special initiatives managed by the Training & Development Department.
  • Maintain organized electronic files, templates, rosters, communications, and other training documentation in accordance with department procedures.

This role offers a hybrid work arrangement. You'll spend three days a week in the office, giving you the flexibility to work remotely for two days. Dependent upon your location, this opportunity offers a generous relocation package.
Qualifications

Essential Skills & Experience:
  • A high school diploma (or equivalent), instructional design classes are valued but not required.
  • 3 or more years of administrative, training coordination, event coordination, customer service, or related experience. Experience administering a Learning Management System, preferably Workday, is a plus.
  • Working knowledge of Learning Management Systems; Workday experience preferred.
  • Strong attention to detail and commitment to data accuracy.
  • Ability to organize and prioritize multiple concurrent training events, deadlines, and stakeholder requests.
  • Professional, responsive, and effective written and verbal communication skills.
  • Strong follow-through and ability to anticipate logistical needs.
  • Ability to work collaboratively with employees at all levels of the organization.
  • Basic to intermediate proficiency with Microsoft Outlook, Teams, Word, and Excel.
  • Ability to learn new systems, follow established procedures, and troubleshoot routine issues.
  • Sound judgment, discretion, and professionalism when handling employee information.
  • Ability to work occasional early, late, or adjusted hours when required to support companywide training events.
