We are seeking a full-time Marketing Data Coordinator to support the sales team in achieving occupancy and revenue goals through effective CRM management and administrative support. This role ensures accurate data entry, lead tracking, workflow management, reporting, and database integrity while maintaining brand consistency.


KEY RESPONSIBILITIES:

  • Greet residents, prospects, and guests; answer calls and provide a professional front desk experience. 
  • Manage daily Marketing Office operations to ensure a professional, organized environment.
  • Oversee CRM daily activity, including inquiries, lead tracking, data entry, and workflow management.
  • Maintain CRM data integrity through ongoing cleanup, validation, reconciliation, and reporting.
  • Generate and distribute CRM-based operational and performance reports.
  • Use advanced Excel skills to audit, validate, and reconcile data for accurate reporting.
  • Support CRM-driven events, including RSVPs, attendance tracking, and record updates.
  • Coordinate appointments, sales communications, and automated CRM workflows (reminders, emails, events).
  • Collaborate with internal teams to align CRM systems with sales, marketing, and reporting needs.
  • Support development and maintenance of CRM SOPs and recommend process improvements.
  • Process invoices, track expenses, and assist with budget reconciliation and financial reporting.
  • Assist with ordering and tracking marketing materials, swag, and office supplies, including basic budget support.
  • Provide event support, including logistics and on-site assistance as needed.
  • Participate in meetings and internal communications to ensure alignment across departments.
  • Perform other duties as assigned.

Requirements

REQUIREMENTS:

  • High school diploma or GED required; bachelor's degree in Business, Marketing, or Organizational Development preferred.
  • Valid VA driver's license with a safe and acceptable driving record required.
  • Minimum of three (3) years of relevant experience, preferably in sales support and marketing.
  • Proficiency with CRM systems (e.g., Aline or similar) and Microsoft Office Suite.
  • Strong data entry, database management, and reporting skills with high attention to detail.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Customer service-oriented with a professional, responsive approach.
  • Ability to work independently and collaboratively within a team.
  • Strong problem-solving skills with a focus on process improvement and efficiency.
  • Basic understanding of marketing, lead management, and sales support.
