Role, Function & Organization
The Tool Coordinator is responsible for the daily operations of tools and equipment to support the company's projects. This role maintains accurate inventory, ensures timely delivery and return of tools, and performs routine maintenance to keep all equipment job-ready. The Tool Coordinator assists with transportation planning, procurement, and supplier management to optimize costs and service quality. Working closely with management, this position helps implement best practices, supports continuous process improvements, and ensures tools and materials are available when and where they are needed.

Essential Duties and Responsibilities
Tool & Inventory Management:
  • Maintain accurate inventory controls through continuous improvement in physical inventory management and software tracking
  • Monitor inventory levels and ensure proper documentation of all tools and materials
  • Coordinate with managers to establish best practices for inventory tracking and maintenance

Transportation & Logistics:
  • Help coordinate and make tool deliveries to job sites in a timely and efficient manner
  • Support management in developing and implementing transportation planning processes to optimize delivery, reduce costs, and ensure consistent, high-quality service
  • Collaborate with teams to ensure tools and materials are delivered and returned as scheduled

Quality Control & Maintenance:
  • Perform routine tool maintenance to ensure all equipment is functional and ready for use
  • Work with tooling crew to coordinate repairs, maintenance, and replacements as needed
  • Verify that tools meet quality standards before dispatch to job sites

Demand Planning & Procurement:
  • Respond to daily tooling requests and returns, controlling inventory to meet project needs and deadlines
  • Assist management with supplier relationships, including vendor selection, contract negotiation, performance monitoring, and issue resolution
  • Support procurement efforts by sourcing tools and rentals at the best available pricing while ensuring budget adherence

Safety/Hazard Recognition & Elimination:
  • Pre-plan and identify the methods to eliminate hazards daily by work task.
  • Execute skill in observing habits and hazards of others and bringing it to their attention.
  • Uphold safety as the most important goal of our company. Support goal of achieving zero accidents.
  • Promote and encourage open communication between field and office regarding all safety concerns, suggestions, improvements, and PPE needed.
  • Obtain safety training as expected by all company personnel.

Qualifications and Requirements
  • High School Diploma (or equivalent) required
  • Relevant experience preferred

Experience, Skill and Abilities
  • Positive safety attitude and personal integrity -- both are non-negotiable
  • Excellent written and verbal communication
  • Strong organization skills
  • Knowledge of tool/equipment tracking software preferred.
  • Knowledge of construction industry tools preferred.
  • Knowledge of Lean practices to ensure continuous improvement.
  • Knowledge of the newest technologies to expedite distribution

Physical Requirements
  • Ability to maintain a consistent workload.
  • Ability to perform moderate manual labor in tool handling.
  • Must lift up to 50 pounds.
  • Office environment requiring sitting and standing.
  • Frequent time spent in office warehouse coordinating tools, exposing employee to noise and moving machinery.
  • Frequent travel to various construction sites is essential, exposing employee to outdoor elements, noise and the need to stand and walk.
