Job description

Ocean Freight Operations Coordinator

The Ocean Freight Operations Coordinator is responsible for supporting day-to-day ocean freight operations across import and domestic transport activities. This role ensures accurate documentation, timely cargo movement, and effective coordination with internal and external stakeholders to maintain service standards and operational efficiency.

Overall task is the processing of transport orders - LCL/FCL - for Ocean Freight Import, in detail:

  • Managing customer, supplier, and partner records in the freight forwarding system
  • Verifying the completeness and consistency of orders (Incoterms, mode of transport, purchasing and sales terms, special conditions, etc.)
  • Acceptance and order entry for shipments within a specified framework
  • Communication and coordination with all internal and external stakeholders
  • Handling of documentation, information management, and exchange of relevant data with customers, suppliers, and partners
  • Customs clearance – import
  • Transport handling in accordance with the order – pre-transport, main leg, and post-transport
  • Accounting processing regarding cost and benefit management in the TMS
  • Handling of invoice disputes
  • Recording of deviations (non-conformities)
  • Preparation of damage claims and handover to the relevant internal and external departments

Previous Work Experience & Qualifications

  • Apprenticeship as a Freight Forwarding and Logistics Services Clerk / 3-4 years' experience in ocean freight or logistics operations
  • German language skills: at least C1 level
  • Foreign language: English is required (written and spoken proficiency at the "very good to good" level)
  • Strong organizational skills and attention to detail.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Team-oriented with a proactive and customer-focused approach.
  • Willingness to learn and take on varied operational tasks.
