Job description

POSITION SUMMARY

The Sales Team Administrator provides administrative and project support to the sales team — managing order documentation, project records, CRM data, and manufacturer communications so projects move smoothly from quote through delivery.


KEY RESPONSIBILITIES

  • Receive, organize, and track manufacturer order acknowledgments through delivery, monitoring lead times and shipment status
  • Process order changes, including address updates, expedited production requests, and manufacturer revisions
  • Assist with returns, credits, RGA requests, and lien waiver / project compliance documentation
  • Create, organize, and distribute submittals, O&M manuals, and closeout documentation
  • Collect and maintain manufacturer warranty documentation and organized electronic project files
  • Maintain and update CRM records, including customer contacts, project details, and sales activity
  • Coordinate sample requests and maintain inventory records for sales and manufacturer materials
  • Identify and implement improvements to documentation, CRM, and order-tracking workflows


QUALIFICATIONS

Required

  • Familiarity with Excel, Word, Outlook, and other Microsoft software products
  • Ability to prioritize and manage multiple projects efficiently
  • Detail-oriented with strong written and verbal communication skills
  • Strong project and time management skills

Preferred

  • 4-year or 2-year associate's degree
  • Familiarity with Salesforce
  • Desire and flexibility to learn new tools and processes
