YOUR ROLE AND IMPACT 

We are looking for a highly organized, detail-driven Marketing Operations Coordinator to help keep our marketing engine running smoothly across our portfolio. This role is ideal for someone who thrives in systems, enjoys coordinating moving parts, and takes pride in making sure projects, platforms, and communications stay accurate and on schedule. You'll support marketing operations, digital asset management, content workflows, property listings, and cross-functional project coordination while serving as a trusted operational partner to the Marketing team. The right candidate is self-directed, proactive, brand-aware, and comfortable balancing deadlines, stakeholders, and shifting priorities in a fast-paced environment.

  • Administrative & Workflow - Coordinate day-to-day marketing workflows, including FreshService ticket monitoring, project tracking, reporting summaries, invoice processing, vendor setup, and internal communications.
  • Platform & Systems Management - Maintain marketing platforms and digital assets by managing Bynder (PAL), Box, PM systems (Planview), property listing audits, Google Business Profile and Apple Maps updates, QR management, and key asset updates.
  • Photography & Content Support - Support photography, content, and Neighborhood event workflows by coordinating pre-shoot planning, vendor credentialing, property access, photo rollouts, and content distribution across required channels.
  • Commercial & Acquisitions Support - Provide tactical support for commercial, acquisition, and portfolio marketing needs, including organizing partner assets, proofing email communications, drafting listing copy, and completing assigned projects with accuracy and timeliness.

 JOB QUALIFICATIONS

  • Education & Experience - Bachelor's degree in Marketing, Business Administration, Communications, or a related field; demonstrated experience in marketing operations, project coordination, or administrative roles in a fast-paced environment.
  • Core Competencies - Strong organizational skills with a proven ability to manage multiple workstreams, deadlines, and stakeholders simultaneously.
  • Technical Competencies - Proficient in Microsoft Office Suite, Mac OS preferred, and web-based platforms; Familiarity with digital asset management and project management platforms (experience with Bynder/PAL, Box, Planview or similar tools a plus); Working knowledge of property listing platforms (Apartments.com, Zillow, Google Business Profile) preferred.

COMPENSATION AND BENEFITS

The provided salary range is based on a number of factors, including location, job-related skills, experience and qualifications.  The candidate must be able to work in the San Mateo office 3 to 4 days a week.
