The Senior Terminal Operations Coordinator is responsible for the timely and accurate processing of department requisitions, work orders, and invoices within Mainpac and other terminal systems for the Engineering Departments. Responsibilities include sorting incoming mail, issuing of requisitions orders, coordinating with the Procurement team, and invoicing accuracy, creating and maintaining reports in an accurate and timely manner.

Essential Duties:

  • Process work orders in Mainpac. This includes accurately linking all technician labor hours and parts associated with the work.
  • Create work orders in Mainpac for daily Operational Support and Pre-Operational jobs to account for vessel and front door operations.
  • Generates requisitions for Engineering Departments, and work directly with Procurement to ensure placement of the orders
  • Complete invoices in the system to ensure that vendors are paid on time, and all invoices are in the system and are accrued prior to the closing of the month. Reconciling Mainpac, Inspyrus records and PAC Invoices on Hold report.
  • Communicate regularly with Accounts Payable and Procurement to assist in resolving outstanding invoices, credits and disputes.
  • Run and validate weekly reports in Mainpac to generate “Open Work Orders Report”, “Recommended Items Report” to replenish and maintain spare parts
  • Physically check inventory levels at various part storage locations and validate levels in system. Make necessary adjustments using stock take to maintain compliance for our internal/external auditors.
  • Coordinate and maintain Mainpac Inventory Stock take; cycle counting each month.
  • Work with internal/external auditors on inventory compliance.
  • Train new Mainpac users as needed.
  • Create new inventory in Mainpac ensuring that new items are fully detailed with warehouse specific location.
  • Direct interaction with labor, attend labor and company safety meetings, and assist labor with payroll issues.
  • Work within the Port of Baltimore M-visitor system to maintain visitor and vendor access, schedule vendor/visitor lists, and work with Port Security as needed for the Operations and Engineering departments.
  • Perform various clerical duties such as running/creating reports, making phone calls, attending meetings, and taking accurate notes.
  • Other related duties as assigned.

 Physical Work Attributes:

  • Work in an environment that may be hazardous to persons unable to see and hear fast moving equipment.
  • Work in hot & cold temperature.
  • Observe all safety and health requirements for a marine terminal environment.

Minimum Qualifications:

  • High School Diploma or GED equivalent
  • 2+ years of terminal / port operations experience
  • 5+ years of administrative, customer service, and or clerical experience.
  • Obtain and maintain Transportation Workers Identification Card issued by the Department of Homeland Security

Preferred Qualifications:

  • Associates Degree or higher
  • Exceptional communication skills
  • Strong MS Excel experience
  • Excellent interpersonal skills.
  • Excellent time management skills; sense of urgency.
