Tenant Services Coordinator

Location: Sandy Springs, GA 30338

Pay Rate: $26.45/hour

Schedule: Monday–Friday, 8:00 AM – 5:00 PM

Work Arrangement: Once trained, eligible for 1-day hybrid schedule

Position Overview

The Tenant Services Coordinator serves as the primary point of contact for tenant services within a city-wide property portfolio. This role provides administrative and clerical support to property management, manages tenant requests and work orders, assists with contract administration, and delivers exceptional customer service to tenants, vendors, and visitors.

Key Responsibilities

1. Tenant Support (50%)

  • Administer the tenant management system (Angus), including:
    • Dispatching work orders
    • Training tenants and employees
    • Monitoring reports and work order completion
  • Respond to tenant calls and service requests, determine urgency, and create work orders.
  • Enter and track tenant requests received outside the tenant system.
  • Monitor work order completion times and escalate issues when necessary.
  • Coordinate daily tenant communications, including after-hours notifications and contractor updates.
  • Follow up on completed work orders to ensure tenant satisfaction.
  • Assist with move-in packages and tenant onboarding materials.
  • Coordinate tenant relations programs and support long-term tenant relationships.
  • Maintain tenant contact and emergency contact information.
  • Schedule vendor service appointments with tenants.
  • Manage conference room reservations, setup, supplies, food, and beverage arrangements.

2. Contract Administration (30%)

  • Assist with preparation of vendor contracts and service agreements.
  • Ensure required vendor documentation is received and maintained.
  • Draft contracts using property management templates.
  • Route contracts for execution and communicate status updates between vendors and property management.
  • Maintain records in accordance with company policies.

3. Reporting & Security Administration (10%)

  • Generate and assist with reporting from the tenant management system.
  • Review tenant service metrics with property management to ensure performance standards are met.
  • Maintain and update the security access database.
  • Program access cards and generate monthly access reports.

4. Administrative & Office Support (10%)

  • Greet visitors and answer incoming reception calls.
  • Provide administrative support to the Regional Manager, General Manager, and Property Manager.
  • Prepare correspondence, expense reports, and other documentation.
  • Maintain office filing systems.
  • Order and manage office supplies.
  • Ensure the office maintains a professional appearance.
  • Open, sort, and distribute incoming mail.
  • Monitor radio communications and escalate significant issues.
  • Assist with basic IT troubleshooting involving networks, printers, scanners, and office equipment.


Qualifications

Required

  • Minimum of 2 years of commercial property management experience
  • High school diploma or equivalent.
  • Proficiency with Microsoft Office applications.
  • Excellent verbal, written, and telephone communication skills.
  • Strong organizational skills and attention to detail.
  • Self-motivated, dependable, and team-oriented.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience with real estate or property management software.
