Job Description

We are seeking a mature, stable, and proactive Office Manager to join our West Chicago, IL branch. This on site role serves as the first point of contact for customers while managing the daily administrative and personnel operations of the branch. A crucial responsibility of this position is the direct people management of branch staff, specifically overseeing our Warehouse temporary workers to ensure strict attendance consistency and operational efficiency. The ideal candidate will focus on delivering exceptional customer service and ensuring the office and warehouse function efficiently and effectively.

Responsibilities:

1.            People & Branch Management

•              Directly manage the Warehouse temp worker, taking full responsibility for monitoring and ensuring the consistency of daily attendance and work performance.

•              Support the Branch Manager in warehouse operations, ensuring efficient order processing and receiving.

•              Assist in implementing company policies and procedures while guiding team members on administrative tasks, and accurate record-keeping (e.g., timecards, compliance records).

•              Manage office supplies, equipment, and vendor services for operational efficiency.

2.            Customer Service

•              Serves as the primary contact for customer inquiries via phone, email, and in person.

•              Provide accurate information on products, services, and policies, ensuring customer satisfaction.

•              Process orders, returns, and exchanges promptly and efficiently.

•              Resolve customer concerns or escalate them to the Branch Manager when necessary.

•              Maintain and update the customer database to ensure accurate records.

•              Identify customer needs and offer appropriate solutions or services to support sales efforts.

Qualifications:

•              Proven people management experience, demonstrating the maturity and stability required to effectively manage branch staff and warehouse temp workers.

•              Bachelor's or higher degree in Business Administration, Business Analysis, Communications, or a related field.

                3+ years of experience in customer service, office administration, or a related role.

•              Bilingual in English (proficient in writing and speaking) and Mandarin Chinese preferred.

•              Experience using ERP systems or CRM software (preferred but not required).

•              Ability to write clear and concise business correspondence.

•              Strong interpersonal and communication skills to handle customer interactions professionally.

•              Strong organizational skills with attention to detail and accuracy.

•              Ability to multi-task and prioritize workload in a fast-paced environment.
