Job Description
The College of Education has an outstanding opportunity for a one-year Temporary Program Coordinator to join their team.
About the Opportunity
Reporting to the Director of ConnectEd, the Program Coordinator will be responsible for managing day-to-day activities. The position will provide administrative and daily support to ConnectEd. This position is expected to be located at Miller Hall on the UW Seattle campus. The role will be hybrid with a combination of in office and remote days every week depending on the operational needs of the program. Occasional overtime may be likely due to on-site events and/or business needs.
Key Responsibilities
ConnectEd Program Administrative Duties 80%
Program Administration:
  • Maintain accurate program records, files, and documentation to ensure data integrity and compliance with internal procedures and reporting requirements.
  • Support general administrative operations as needed to improve workflow and program effectiveness.

Communications:
  • Act as the primary point of contact for faculty, staff, community members, and participants
  • Respond to inquiries in a timely and professional manner, providing information, referral, and follow up as needed.
  • Assist with the development, review and distribution of marketing and communications materials such as emails, flyers, announcements, and web content.
  • Support outreach efforts to promote programs, events, and engagement opportunities.

Event Planning & Coordination:
  • Assist with planning, organizing, and executing program events, workshops, meetings, and related activities.
  • Coordinate event logistics such as scheduling, materials preparation, room setup, catering, technology needs, and vendor communication.
  • Provide on-site event support to ensure smooth operations and troubleshoot issues as they arise.
  • Occasional travel may be required to support event or program activities.

Meeting Coordination:
  • Schedule and coordinate team meetings, including sending invitations and preparing agendas
  • Maintain organized records of decisions, deadlines, and next steps to support accountability and continuity.

Budget Management and Procurement 20%
Budget management:
  • Assist with budget development, track program expenses, and coordinate procurement processes
  • Maintain budget spreadsheets and/or records to support accurate financial oversight and reporting.
  • Help ensure spending aligns with approved budgets, timelines, and program priorities.
  • Process requests to purchase or pay for event related costs via procurement card or Workday.

Contracts & Invoicing & Account Receivable:
  • Coordinate contract processing by gathering documentation, tracking approvals, and supporting submission of workflows.
  • Review and process invoices in coordination with program and finance contacts to ensure timely payment.
  • Monitor outstanding accounts receivable and follow up as needed to resolve delays and support collection efforts.

Required Qualifications

Minimum Qualifications:
  • High school graduation or equivalent, two years of experience supporting educational programs and/or clerical work.

Additional Qualifications:
