Job Type: Temporary (52-Week Assignment, May 2026 – May 2027)
Pay Rate: $21.25/hour
Location: Hawthorne, NY | On-site (Monday-Friday, 9:00am-5:00pm)

Job Overview
Madison Approach Staffing is recruiting for a Legal Assistant to support the Legal department at our client's healthcare organization. This role provides critical administrative support including contract preparation and tracking, legal document filing, vendor liaison, and database maintenance. The ideal candidate has law firm or legal department experience, advanced MS Word proficiency (redlining/formatting), strong attention to detail, and ability to work independently in a busy legal office environment.

Key Responsibilities
  • Answer and route all incoming telephone calls for legal department
  • Prepare contracts and maintain Excel spreadsheets for contract tracking under attorney supervision
  • Maintain hospital network's contract database software; act as liaison between vendors and attorneys
  • Assist with daily contract execution and maintain contact with internal departments on contract status
  • Prepare legal documents and file for court proceedings as needed
  • Manipulate PDF documents using Adobe Reader and PDF Converter software
  • Prepare letters, memoranda, reports, and summaries for the department
  • Produce and format PowerPoint presentations for meetings
  • Process travel and expense forms for reimbursement
  • Answer routine mail independently and route other correspondence with background material
  • Maintain all attorney files ensuring materials are properly marked and organized
  • Attend capital committee meetings to screen requests requiring legal/purchasing review
  • Prioritize work and manage workflow with strong multi-tasking abilities
Required Skills & Experience
  • Experience: Minimum 2 years providing administrative support, preferably in law firm or legal department
  • Education: High School diploma or equivalent required; Associate or Bachelor's degree preferred
  • MS Word Expertise: Advanced proficiency including complex formatting and document redlining (required)
  • Technology: Proficiency with Outlook, Excel, PowerPoint, Adobe Reader, and PDF software
  • Typing: Minimum 50 words per minute
  • Writing Skills: Proficient grammar and writing skills with strong attention to detail for proofing/editing
  • Independence: Ability to work proactively with little supervision
  • Organization: Ability to manage high-volume workload in busy legal office
  • Discretion: Client-centric approach with ability to handle confidential information
