What is a temporary legal assistant?

Temporary Legal Assistants are legal professionals hired on a short-term basis to support attorneys and law firms with administrative and legal tasks. Their duties often include preparing legal documents, filing court paperwork, conducting legal research, and managing case files. These positions are typically filled to cover staff absences, manage high workloads, or assist with specific projects. Temporary Legal Assistants play a crucial role in ensuring that legal operations continue to run smoothly during periods of increased demand or staffing shortages.

What are the key skills and qualifications needed to thrive as a temporary legal assistant, and why are they important?

To thrive as a Temporary Legal Assistant, you need a solid understanding of legal terminology, document preparation, and administrative procedures, typically supported by a certificate or relevant experience. Familiarity with legal management software, Microsoft Office Suite, and document filing systems is often required. Strong organizational skills, attention to detail, and the ability to communicate effectively are essential soft skills for this role. These skills ensure efficient support to legal teams, accuracy in legal documentation, and adaptability in fast-paced legal environments.

What are some common challenges faced by temporary legal assistants, and how can they effectively navigate them?

Temporary Legal Assistants often join firms or legal departments for short-term projects or to cover employee absences, so they must quickly adapt to new workflows and office cultures. A common challenge is learning the specific procedures, document management systems, and communication styles unique to each employer within a limited time. To succeed, it's important to ask clarifying questions early, proactively seek out key resources like template documents or procedural guides, and communicate clearly with supervising attorneys and team members. Flexibility, strong organizational skills, and a willingness to learn are essential traits for thriving in these dynamic environments.

Job description

About the Role:

The Legal Assistant provides flexible, cross-practice support to attorneys and legal teams across multiple practice areas as staffing needs arise. This role fills in for absent legal assistants, absorbs overflow work during periods of high volume, and supports special projects firm-wide. The ideal candidate is adaptable, quick to learn new subject matter and workflows, and able to move seamlessly between different practice groups, attorneys, and systems while maintaining consistent quality and confidentiality.

Minimum Qualifications:

  • High school diploma or equivalent; associate’s degree, paralegal certificate, or equivalent experience preferred.
  • Two or more years of legal support experience, ideally spanning more than one practice area.
  • Ability to adapt quickly to different attorneys, workflows, and subject matter with minimal supervision.
  • Proficiency with electronic court filing and legal document management systems.
  • Strong proficiency with Microsoft Office (Word, Outlook, Excel).
  • Excellent organizational skills and attention to detail, with the ability to manage shifting priorities and competing deadlines.
  • Strong written and verbal communication skills.

Preferred Qualifications:

  • Exposure to multiple practice areas (litigation, transactional, real estate, estate planning, family law, bankruptcy, employment, etc.).
  • Familiarity with a range of practice-specific software and time-and-billing systems.
  • Knowledge of different bankruptcy courts.
  • Familiarity putting together TOC/TOA’s.

Responsibilities:

Cross-Practice Coverage

  • Provide temporary and on-demand support across practice areas (e.g., litigation, real estate, estate planning, family law, bankruptcy, and employment), adjusting to the conventions of each group.
  • Step in to cover for legal assistants who are absent, on leave, or overloaded, maintaining continuity of service with minimal ramp-up time.
  • Quickly learn practice-specific procedures, terminology, filing requirements, and attorney preferences.

Document Preparation and Management

  • Draft, format, proofread, and revise correspondence, pleadings, agreements, and other legal documents for attorney review.
  • Prepare, assemble, and file documents with courts and agencies, including electronic filings (CM/ECF and state e-filing systems) where applicable.
  • Organize and maintain physical and electronic case and matter files.

Calendar and Deadline Management

  • Track and calendar deadlines, hearings, closings, filing dates, and appointments across multiple matters and practice areas.
  • Coordinate meetings, depositions, signings, and attorney schedules.
  • Provide timely reminders of upcoming deadlines and deliverables.

Client and Third-Party Communication

  • Serve as a professional point of contact for clients, courts, opposing counsel, and third parties across matters.
  • Gather documentation and information needed to advance matters, respecting the requirements of each practice area.

Administrative and Project Support

  • Enter time, open and close matters, and assist with billing and expense coordination.
  • Support special projects, document productions, and firm-wide initiatives as assigned.
  • Perform general administrative duties, including scheduling, correspondence, data entry, and file maintenance.

Competencies:

  • Adaptability — moves fluidly between practice areas, attorneys, and systems with minimal onboarding.
  • Quick learning — absorbs new procedures, terminology, and preferences rapidly and accurately.
  • Organization — juggles multiple matters and competing priorities without dropping details.
  • Reliability — provides dependable coverage that teams can count on during absences and surges.
  • Discretion — maintains strict confidentiality across all matters and practice groups.
  • Collaboration — builds rapport quickly and integrates smoothly into different teams.
